Proposal for North American Nationals Model Horse Show

on August 12-14, 2011 or August 19-21, 2011,

in the Hall Of Commerce at the AlamedaCounty Fairgrounds:

Rental Fees:

Hall of Commerce, (14,000 square feet)

$1,100.00 per event day$3,300.00*

*If set up day is needed, $550.00 per day

Deposit required: $1,650.00

This deposit will be paid in addition to rent and be held until after the event. At that time, a final invoice will be prepared and deposit applied. A final bill or a refund will then be issued.

8’ Tables, unskirted - $8.00 each, ($9.00 each if Fair sets up)

Estimated 120 tables @ $8.00 each$ 960.00

Chairs, folding plastic- $ ,75 each ($1.00 each if Fair sets up)

Electrical Distribution (Costs quoted are for advanced orders):

Electrical is dispersed by the Alameda County Fairgrounds. The cost for electric order is:

500 Watts (5Amps) $50.00 1000 Watts (10 Amps) $65.00

1500 Watts (15 Amps)$80.002000 Watts (20 Amps) $95.00

Prices quoted are for advance orders. Orders within 7 days of event are charged show rates. Additional quotes can be provided for other electrical requirements.

Labor, required:

Staff Person, required for usage before 8AM and after 4:30PM,

$20.00 per hour -Estimated Staff Person-10 hours @ $20.00 per hour$ 200.00

Restroom Attendants, 1 male, 1 female, during event hours,

$32.00 per hour – Estimated 21 hours @ $32.00 per hour$ 672.00

Post Event cleaning, $20.00 per staff hour

Estimated :9 hours @ $20.00 per hour$ 180.00

Total Estimated Labor:$1,052.00

Security:

Security Rover Fee: $120.00 per event day $360. 00 Total

If additional security is needed, it must be ordered through the Alameda County Fairgrounds- Current cost is $20.00 per hour, $30.00 per hour overtime.

Insurance (required)

$1,000,000.00 general liability with additional insured clause as follows:

“The State of California, the Alameda County Agricultural Fair Association, and County of Alameda, their Agents, Officers, Directors, Employees, and Board of Supervisors are made additional insured, but only insofar as the operations under this contract are concerned.”

Food & Beverage:

Ovations, the Fairground’s Master Concessionaire, is required to handle all food and beverage on the fairgrounds. To make arrangements, call 925-426-7630 prior to your event

Parking:

Parking is charged at $8.00 per car. Twelve Staff Permits are included in rental fees. 3 day discounted parking permits can be available for attendees - $18.00 per permit.
