USIT New Employee/Consultant Orientation Checklist
Checklist Description: Use this checklist to verify you are ready for a new USIS consultant/employee to begin work.

BEFORE they arrive / How?
Work Space
Arrange for workspace
Make sure workspace is clean and arrange for necessary office supplies:
-Folders
-Legal Pad
-Pens
-Campus Maps
Order or active telephone or phone service (if not available) / Order Service Form is available at:

Arrange for a desktop or laptop computer / Contact USIS Support at 5-1830.
Send an email to your unit and others who are located in the work area to notify them of the date that the employee/consultant will be starting. Request that everyone welcome the new employee/consultant and help to make them feel at home.
System Access
Obtain a sponsored internet account (x.500) for consultants and get UMCal access (if required). There is a charge for sponsored accounts / Contact 1-Help (612-301-4357) or email them at . The following information is needed:
-Name
-Office Address
-Home Address
-EFS Account #
-Contract start and end date
Complete MS Project (EPM) User Access Form. All IT employees and consultants are required to track time their time. / User Access Form is available at:

Create an initial work plan with tasks for the employee/consultant to do.
Parking & Transportation
Send employee/consultant the link to the Parking and Transportation web site for information on transportation to the U or M and parking on campus. / Parking and transportation information is available at:

Payroll
Complete section one of the I-9 Employment Authorization Verification Form. This must be completed no later than the first day of work and can be done before a new hire begins work. Employee chooses which verification documents they will bring to Payroll on their first day of work (e.g.,l U.S. Passport, Drivers License, Social Security Card). / Online form is available at:
Work Plan
Create an initial work plan with tasks for the employee.
AFTER they arrive / How?
Payroll
Take employee to U Services Payroll in order to bring original documents for verification and completion of section two of the I-9 form. This must be done no earlier than the first business day of work and no later than the third business day.
Performance Appraisal
Provide U Services HR employee information to add to the Performance Based Evaluation System (PBES)
Show employee how to access PBES and explain the evaluation process.
System Access
Show employee how to enable their Active Directory account using internet ID and password. / Enable Active Directory at:

Show employee how to create a Google Mail & Calendar account /
Review U of M employee self-service tools (e.g., paycheck information, etc.) / Employee self-service is available at:

U Services/Departmental Information
Review your units org structure including the U Services org structure and mission / U Services organization chart is available at:

Sign employee up for U Services new employee orientation (held monthly). / Contact Kathleen Krueger in U Services HR at or 4-1536.
Arrange to take employee/consultant to lunch during their first week with other co-workers.
Show them where the following is:
-Restrooms
-Vending areas
-Coffee/water
Work Plan
Review work plan with employee
U Card
Employee must obtain U Card from the U Card Office in Coffman Memorial Union (room G22). Employees should contact the U Card Office at 6-9900 to confirm that they are in the system before going over there. Employee should bring one of the following:
-Drivers license
-State ID
-Military ID
-Tribal ID / U Card hours and location are available at:

Contact Betty B.(FM) after U Card is obtained to get after hours building access to Donhowe.
U Services PMO
Set up an hour meeting with the U Services PMO for:
-Time tracking instructions
-PMO tools and templates
-Project Portfolio / Contact Diane Kleinman at 5-2806 or
