SUMMARY: The HR Coordinator is responsible for assisting HR Director in all duties involving the Human Resources Department. Such as new hire/applicant processing, maintenance of personnel records, employee benefit programs, workers compensation, ADP payroll administration, family medical leave, ADP HRIS system, and all other areas related to Human Resources support to PDI employees on all levels. Compliance and enforcement of agency and state guidelines, policies and procedures is required.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following, but other duties may be assigned as necessary.

  1. Process applications and conduct all required background checks as needed for further processing.
  2. Send appropriate letters to applicants not chosen for requested positions, and then file their applications
  3. Conduct New Hire Orientation for all New Employees, coordinate schedule with other departments as needed.
  4. Process all New Hire Paperwork, submit nationwide background check, and create new Employee Personnel file.
  5. Conduct annual audit to ensure all Employees’ files are complete and maintained as required by the State.
  6. Conduct DMRS and county criminal checks on all employees, as needed, minimum annually.
  7. Create and maintain confidential files for employees as needed.
  8. Communicate with all supervisors the yearly and introductory evaluations that are due for all employees and follow-up to ensure timely completion.
  9. Complete employment verifications from outside agencies for employees as requested.
  10. Generate report of all birthdays, anniversaries, and new hires monthly.
  11. Maintain New Employee Required Documents spreadsheet, follow-up to ensure compliance.
  12. Manage employee referral bonus.
  13. Maintain Disciplinary Actions spreadsheet on employees
  14. Communicate with agency benefit administrator on changes to benefits for employees.
  15. Assist processing and following up on all necessary paperwork concerning requests for the Family Medical Leave Act (FMLA), and COBRA.
  16. Assist with processing and tracking Workers Compensation Claims, files, and required reports concerning workers compensation.
  17. Reviews and imports employee time cards into the ADP PayeXpert payroll system via ezLaborManager or via timesheets completed and approved by the department designees. Checks figures for accuracy and necessary approvals.
  18. Reviews payroll documentation for accuracy through ezLaborManager audit reports and makes any necessary adjustments. Obtains necessary approvals.
  19. Inputs, calculates and reviews any additional payroll information for payment and/or deduction. Includes bonuses, travel reimbursements, pay adjustments, vacation payouts, training deductions, retro-raises etc.
  20. Researches and resolves questions from managers and employees as they relate to the processing of payroll information such as sick and vacation time, banking, garnishments, employment verifications, retroactive pay calculations, tax deduction questions, and other changes.
  21. Compiles various payroll data for reporting purposes, including 401K match, insurance deductions, overtime and sick and vacation balance reports.
  22. Exports payroll data from pay system for import into General Ledger.
  23. Makes any modifications to programming for all ADP programs, including PayeXpert, GL-Interface, ADP Total Pay Card Enrollment, iPay and ezLaborManager systems.
  24. Maintains payroll batch filing and documentation.
  25. Performs other duties as determined and assigned by the HR Director and/or Executive Director.

SUPERVISORY RESPONSIBILITES

Will not be involved in direct supervision.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

Associates Degree in Business Administration and 2 years Human Resources Experience or a minimum of 4 years Human Resources experience. 2 years experience with ADP HRIS, preferably PayeXpert and ezLaborManager.

LANGUAGE SKILLS:

Ability to read, analyze, and interpret technical procedures and governmental regulations; write reports, business correspondence, and procedure manuals, effectively present information and respond to questions with all levels of employees.

REASONING ABILITY:

Must be able to work independently with minimum supervision. Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to multi- task and perform under the pressure of time constraints.

OFFICE SKILLS:

Ability to keep detailed records and updated files. Working knowledge of Microsoft Office Programs, Outlook, Word and Excel are mandatory.
