Classification:Salary / Non-Exempt

Duties and Responsibilities:

Enhance Senior Director of Admissions effectiveness by providing information-management support:

  • Establish and maintain data entry standards – coordinate with other departments
  • Responsible for data entry of applications
  • Ensure integrity of data between various database systems
  • Manageon-line re-enrollment/enrollment
  • Maintain changes in status, address and other information in Blackbaud and Online Family Profile System
  • Maintain confidential information by professional handling and filing appropriate forms, tests, applications and student records
  • Process student record requests
  • Produce and maintain statistical information
  • Assign and maintain student and parent NetClassroom ID’s
  • Assign and maintain parent access codes to the Online Family Profile System. Coordinate initial set-up of new families into this system
  • Maintain security access to the Financial Edge portion of Blackbaud
  • Responsible for uploading/maintaining parents/students/faculty to NetCommunity
  • Update Admissions pages and calendar on the school website
  • Prepare data exports of student data as needed for import into other school systems (Nurse, Library, Technology)
  • Maintain professional and technical knowledge by attending educational workshops, and reviewing professional publications
  • Serve as a resource for Blackbaud instruction and provide on-going support

Enhance Admission Department’s recruiting activities:

  • Assistand support admission procedures, including but not limited to, tours, open houses, Admissions Booth, and fielding general admissions questions
  • Assist with mail-outs (both electronic & paper); labels, stuffing, and distribution. Compile mailing lists from school and church databases
  • Interface with families and other interested parties regarding application information, school background, touring, testing, etc.
  • Prepare reports, letters, correspondence and documents as necessary

Qualifications/Skills:

  • A thorough knowledge of Blackbaud and/or other academic records software
  • Strong computer skills and knowledge of Word, Excel, PowerPoint and Outlook and ability to learn new educational software programs. Many projects require the use of mail merge and pivot tables
  • Good problem solver, works well independently
  • Well organized and able to multi-task
  • College Degree highly preferred, not required
  • Professional telephone and office etiquette

  • Must be available to work occasional evenings and weekends as events dictate

Physical and Environmental Requirements:

  • Sedentary work environment, occasional lifting of up to 10 pounds
  • Regularly sitting at the computer requiring repetitive finger motion and manual dexterity
  • Good vision required (with correction) due to the need for focusing ability and close vision
  • Frequent walking, speaking, hearing and distance vision
  • Occasional standing, reaching or stretching, crouching or stooping, color discrimination, peripheral vision and depth perception
  • Environment is primarily indoors in an office setting with the exception of hosting a couple of outside events throughout the year
