Preparing a Request for Permission to Conduct External Research in Westminster Public Schools

Please submit an electronic or paper copy of the proposal with all required attachments to the Teaching and Learning Division. All requests must be accompanied by the following documents and attachments. Incomplete requests will not be considered. Please allow four weeks response time. All requests must be submitted prior to October 30th for the current school year.

1.  Proposal cover letter addressed to Nancee Sprigg, Achievement Coordinator, Teaching and Learning Division, and Westminster Public Schools.

2.  Three to four page written outline that addresses the following clearly defined components

¨  Title of the study

¨  Name, position, title, address, telephone number, and institution represented for each researcher. For graduate dissertation/thesis, include the name of student’s major advisor in the cover letter.

¨  Project timeline including beginning and ending dates and the amount of time required for each of the proposed research activities to be conducted within the district.

¨  Purpose of research (e.g., graduate dissertation/thesis, individual research, class project, publication, other)

¨  Theoretical basis of study including research questions and hypotheses

¨  Sampling design and rationale, including number and type of schools, names of schools, number and types of students or staff or names of departments and type of staff, and how they were selected.

¨  Relevance of research to Westminster Public Schools

§  Reasons for conducting research in Westminster Public Schools

§  Subsequent use of results

§  Benefits to the district and relevance of project to the district’s stated mission and goals

¨  Methodological Procedures including:

§  Copy of instruments in each language they will be administered.

§  Data collection procedures, persons who will be collecting the data, time frame for collecting data, need for district archival data

§  Methods for maintaining confidentiality

§  Data analysis procedures for each research question

§  Procedures for storing data during the study and handling data after completion of the study

¨  Assurance that Westminster Public Schools is not named in the final reports or subsequent presentations

¨  Informed Consent Procedures for obtaining written consent including written consent forms for speakers of languages other than English

¨  Target date for submission of final report to the district


3. Required attachments including the following:

A.  Copies of instruments in all appropriate languages

B.  Copies of informed consent forms in all appropriate languages

C.  Human subjects approval from institution represented, if applicable

D.  Approved thesis/dissertation proposal from institution represented, if applicable
