Introduction

We maintain a number of documents on our intranet, for example, log on to and look under “Home > Documents & Forms” or “Home > Policies & Procedures”. These are accessed via a separate website that uses a content management system (CMS) (we are using Drupal open source software for this). Anyone with an intranet user account can post documents to our website after IT Developers have set up the proper permissions.

Note: the instructions below show screenshots using Firefox, but Chrome and Internet Explorer works as well.

Summary of important notes:

1) Use the url

2) Use Chrome or Firefox when creating links to documents. Problems have been reported when using Internet Explorer.

3) Make sure the link to the file is in the form of:
“files/…” and not “/files/” (see next section)

Instructions

To upload and add a link to a document

Go to this url for updating docs:

goes only to the you are updating. (When accessing via the url the server you are updating in embedded in an iframe on the page.) Using the intranet.senecacenter.org is the preferred way to update the intranet.

Navigate to the page and click “Edit”.

Enter the text on the page for the link, e.g. “Family Case Management JRC-Family Ties” in the picture below. Highlight the text and click on the link icon. To find the file on your computer to upload, click on the directory iconto get the file manager dialog. Click upload and select the file and click “Insert” to insert the link into the General Properties “Link URL” field:

IMPORTANT: make sure the link to the file is in the form of:
“files/…” as above or as in:

Notice that there no leading “/” before “files”. (In other words, it should NOT look like this “/files/…”. The editor will often throw in a preceding “/”, so you must remove it before saving.) This is because we want the link to be relative to the site that is accessing it, as it gets accessed from two different sites. Namely, /IntranetViaOnline/”

Note:

Documents & Forms can be found in the “agency_forms” folder

Policies & Procedures can be found in the “policies” folder

Click on the files icon to get to the root of the files folder.

To create a page and add a link to it:

Click on "Create Content" on the left-hand menu and then "Page". Enter a title and if linking to the page, enter a url under "URL path settings" - this is the url that you will use to link to the page.

Then to create the link to the page, add the "Link URL" as index.php?=<url path here>

Note: problem have been experienced when trying to create this link using Internet Explorer. Use Chrome or Firefox instead.
