Post Title:PA to Headteacher/Admin Team Leader

Salary GradeH7/8 (£23,398 - £25,951 – Pro-rata)

Hours:37 hours per week – term time plus 2 weeks

Responsible to:Headteacher

Effective from:September 2017

PURPOSE OF THE JOB:

To provide an efficient and confidential secretarial service to the Headteacher

MAIN AREAS OF RESPONSIBILITY

  • Provide an advanced range of secretarial and PA services for the Headteacher
  • Work with minimum supervision to organize own workload and priorities based on personal initiative and an understanding of the needs of the Headteacher and the school
  • To co-ordinate the agenda for SLT meetings, take minutes and circulate to members of SLT. Ensure actions are followed up
  • To attend and take minutes of any other meetings as requested by the Headteacher
  • Meet daily with the Headteacher to ensure planning and impending work projects are undertaken and completed within appropriate timescales.
  • Ensure all administration for meetings or duties of the Headteacher are completed in a timely fashion.
  • Liaise with members of the Senior Leadership Team regarding whole school events.
  • Lead and manage the School’s Single Central Register.
  • Strategic co-ordination of key documentation such as:
  • Prospectus
  • Ofsted documentation
  • SEF and SIP
  • Strategic co-ordination of key school events
  • Strategic management of school communication:
  • Marketing
  • Newsletter
  • Plasma screens
  • Website
  • Use of social media; twitter, facebook
  • Contribute to the recruitment process to include; placing adverts, preparing interview programmes, composing offer letters,
  • Acknowledge the need for and practice confidentiality, in regard to handling sensitive information pertaining to students, staff or school matters/issues.

Shared responsibilities as a member of the Administration Team

  • Help ensure the smooth running of the school.
  • Contribute to the development of administration and other procedures that are conducive to efficient and effective operation and supportive of the core purpose of the school (student learning).
  • Support other members of the team in the fulfilment of their responsibilities.
  • Maintain productive and efficient time management during the working day.
  • Notify your line manager of any unforeseen problems where appropriate and in a timely fashion.
  • Maintain and develop a professional working relationship with all stakeholders and outside organisations.
  • Follow school policy, procedures and ethos of the school.
  • Check, respond and action, as appropriate, all communication from stakeholders within 1 working day.
  • Carry out administrative tasks as directed by your line manager.
  • Attend yearly school events such as: Inset Days,
  • Effective line-management (where relevant) through rigorous appraisal, CPD and holding colleagues accountable.
  • Contribute to the Child Protection and Safeguarding ethos of the school.
  • Additional duties/responsibilities as required by the Headteacher.

Person Specification

ESSENTIAL

/ DESIRABLE
  • Excellent management, interpersonal, organisation, written and communication skills.
  • At least 2 years’ experience of working at supervisory/management level.
  • Ability to maintain confidentiality.
  • Ability to stay calm, patient and polite whilst working under pressure.
  • Good leadership qualities.
  • Understands the necessity to work as a team and support colleagues and is flexible.
  • Is able to work with a high degree of accuracy.
  • Good ICT skills.
  • Previous experience of working in a school environment.
  • Knowledge of SIMS or SIMS.net database.
  • Committed to continuing professional development of self and others within the school.
  • Ability to meet milestone and deadline dates.
  • Ability to use own initiative.
  • Ability to interact with students, staff and other stakeholders.
  • Is willing to contribute to the broader life of the school.
  • Good sense of humour.

  • Educated to GCSE ‘C’ Level standard, particularly Maths and English.
  • Has an appropriate qualification, Certificate or Diploma at Level 4 or above.
