Executive Assistant to the CEO & Events Coordinator

The Britain Israel Communications and Research Centre (BICOM) is seeking to appoint an Executive Assistant to the CEO & Events Coordinator.

This is an excellent opportunity to contribute to the activities of a well-established organisation with a reputation for producing high-quality research and analysis about Israel and the Middle East.We are a London think tank that aims to increase understanding of Israel and the Middle East in the UK. BICOM produces research and analysis, publishes a quarterly journal and arranges journalist delegations to Israel and the Palestinian Authority. We currently have a vacancy for an Executive Assistant to the CEO with responsibility for coordinating events.

This is an exciting opportunity to support a CEO managing a busy diary of media interviews, conferences and VIP meetings, UK and International events, as well as arranging high-profile events and seminars in the UK.

JOB DESCRIPTION - MAIN DUTIES OF THE POST

Executive Assistant to CEO of BICOM

  • Managing the CEO’s diary and overall workload including sourcing briefing materials, ad hoc research as well as managing a busy diary of meetings, events, calls, conferences and speaking engagements in the UK and abroad.
  • Managing relations with the CEOs key contacts such as board members, supporters, media figures, academics, diplomats, politicians and VIPs.
  • Organise all monthly board meetings and produce all relevant materials.
  • Collating & recording CEO expenses and assisting with the logging and checking of monthly Credit Card Statements.
  • Managing all administration and logistics for the CEO and senior team when attending conferences and events in London and abroad
  • Managing the office dairy
  • Managing office set up and resources including refreshments, storage, stationery and resources.
  • Assisting with travel arrangements for the wider team as and when required.
  • Answering Incoming Calls and arranging conference calls.

Events coordinator

  • Working with the CEO and the BICOM senior team to coordinate all BICOM events for media, academics and ad hoc meetings and seminars including invitations, room booking or venue hire, refreshments and speaker liaison.
