POST:Shared Lives Administrator

RESPONSIBLE TO:Shared Lives Manager

BASE:Thurrock

SALARY:£16,485- £18,546 per annum

HOURS:39 per week

DUTIES AND RESPONSIBILITIES

ADMINISTRATIVE

1.Reception duties (receiving and transferring calls, welcoming visitorsetc.).

2.Invoicing duties.

3.Coordinating mandatory training for Shared Lives Carers.

4.Supporting the team in obtaining references, GP references, DBS checks etc. (for potential Shared Lives Carers).

5.General administration duties as required (photocopying / faxing etc.).

6.Updating and maintainingScheme databases.

7.Scheme filing and maintenance of filing systems.

8.Typing - correspondence, reports etc., as required by the Scheme Manager, Co-ordinators and Assistant Coordinators.

9.Typing and circulating minutes of various meetings, including taking minutes at meetings.

10.Arranging appointments and any ad hoc meetings and events as required, taking into account the availability of those attending.

11.Responsible for internal communication within the office base.

12.General housekeeping duties, coordinating buildings maintenance and housekeeping when necessary.

13. Contributing to Team Meetings.

14.Supporting the Scheme Manager to coordinate carer recruitment, Scheme events, Approval Panels etc.

15.Contributing to coordinating all aspects of carer induction training.

CUSTOMER CARE

1.Maintaining confidentiality.

  1. Contributing towards effective working relationships with members of staff, Shared Lives Carers and service users.

TRAINING

1.Participating fully in developing own competencies.

INFORMATION TECHNOLOGY

  1. Backup and maintenance of computer system, including company databases.
  1. Using a range of IT packages such as Word, Outlook, Power-Point, Excel and Publisher (or being prepared to develop these skills).

GENERAL

1.Be responsible in conjunction with all members of the Company for the security of the office during working hours.

2.Ensure that any repairs are actioned to avoid deterioration of equipment etc.

3.Any additional duties which may be delegated by the Scheme Manager appropriate to the post.

The main duties of the post are outlined above. However, they are neither exhaustive nor exclusive, and therefore the job-holder may be required at times to undertake duties and responsibilities as per service requirements.

As with all job descriptions, the pattern of work is subject to review and reasonable adjustment in accordance with the needs of the service.

Justification for any such changes will be provided and full consultation will take place in advance.

All posts are subject to a satisfactory health screening, Disclosure and Barring Service (DBS) check, attendance at the company’s induction training programme and a 6 monthly probationary period.
