POST OF CALMVIEW LIBRARY ASSISTANT (BAND 7)

FULL-TIME, FIXED-TERM 3 MONTHS

The National Galleries of Scotland (NGS) cares for, develops, researches and displays the national collection of Scottish and international art and, with a lively and innovative programme of activities, exhibitions, education and publications, aims to engage, inform and inspire the broadest possible public.

NGS is a non-departmental public body (NDPB) centrally funded by the Scottish Executive. It is internationally renowned, attracts nearly 1.5 million visitors per year and consists of the following sites in Edinburgh:

  • The Scottish National Gallery on The Mound
  • The Scottish National Portrait Gallery on Queen Street
  • The Scottish National Gallery of Modern Art on Belford Road

There are also partner galleries: Duff House in Banff and Paxton House in Berwickshire.

The NGS Archives & Libraries use Axiell’s CALM+ system for cataloguing and managing their collections. This three month project will result in online access to the archive and library collections via a portal in the NGS website, opening our resources to a wider international research community.

The NGS Archives & Libraries comprise:

  • The Scottish National Gallery Research Library

The Library holds books, serials and sales catalogues which reflect the Scottish National Gallery’s art collection, focussing on Western art from the 14th to the 20th century. The Scottish National Gallery’s Board Minutes, permanent collection and exhibition catalogues and documentation on each work in the permanent collection can also be consulted here.

  • The Scottish National Portrait Gallery Reference Section & Library

The main component of the Reference Section is the Portrait Archive which records portraits of and by Scots in collections worldwide. The Reference Section also includes a small collection of Scottish artists’ papers.

The Scottish National Portrait Gallery’s Library comprises 50,000 items including auction and exhibition catalogues, periodicals, monographs and reference books. The primary focus of the collection is the history of Scotland and its society, with particular strengths in biographies and portraiture.

  • The Scottish National Gallery of Modern Art Archive & Library

The archival holdings include material relating to 20th century and contemporary artists and art organisations, principally the archive and book collections of Roland Penrose and Gabrielle Keiller. The Library collection includes books, periodicals and sales catalogues, covering all aspects of modern and contemporary art from 1900 onwards, with particular emphasis on Dada and Surrealism and Scottish Art.

The CALMView Library Assistant will edit existing catalogue data and check records for consistency across the three NGS sites prior to the CALMView platform being launched. The post will be based across sites, spending a proportion of time at the Scottish National Portrait Gallery, the Scottish National Gallery, and the Scottish National Gallery of Modern Art. Other duties will include retrospective cataloguing, stock auditing and any other tasks that might arise as a result of the project.

DEPARTMENT STRUCTURE

KEY RESPONSIBILITIES:

  1. Checking existing CALM library records for accuracy and consistency.
  1. Retrospective cataloguing.
  1. Stock auditing and maintenance.
  1. Assisting with other duties in relation to CALMView as required.

KNOWLEDGE, SKILLS AND EXPERIENCE

The following range of knowledge, skills and experience are required. Please ensure these are reflected in your application. Shortlisting for interview will be based on meeting these requirements.

Essential

  • Educated to degree level or postgraduate level in Librarianship or Information Science.
  • Experience of cataloguing using a library management system.
  • Accuracy and attention to detail.
  • Efficient administrative and organisational skills.
  • Ability to work independently.

Desirable

  • Knowledge of Art History
  • Knowledge of at least one European language.

SUMMARY TERMS AND CONDITIONS

Salary £16,572.00 pa FTE, pro-rata depending on hours

Hours:42 Hours per week inclusive of meal breaks

Annual Leave25 days per annum &11.5 public and privilege holidays FTE, pro-rata depending on hours
