Position Title:Student Information Data Specialist

Supervisor:Registrar

Classification:Staff Associate (non-exempt)

Schedule: Full-time (35 hours/week) year round, 1820 hours annually

Overview: The Student Information Data Specialist supports the student data information needs of the College by collecting and reporting student data on a regular and ad hoc basis, utilizing SQL databases and the Student Information System. As a member of the Registrar’s Office team, this individual has a variety of responsibilities as described below.

Characteristic Duties and Responsibilities:

  1. Provide excellent constituent-centered service to a diverse community of students, parents, faculty, staff, and the general public at the counter, by telephone, or via e-mail.
  2. Convey College policy accurately to students, parents, faculty, staff, and the general public.
  3. Collect and provide data and reports for many internal inquiries from offices across campus, on both a regular and ad hoc basis, using our Student Information System and the data warehouse.
  4. Assist individuals from college departments who are requesting information to determine appropriate selection criteria and report design.
  5. Utilize SQL databases to retrieve data and continue to improve the data retrieval process by creating and maintaining SQL data tables.
  6. Enter, verify, and maintain course information on both the catalog and term levels in the college student record keeping system, including regular offerings and individualized instruction.
  7. Work with our catalog software, Acalog, to update the working College catalog as the Curriculum Committee approves changes, updates, and additions to the curriculum.
  8. Enter and maintain classroom information in the college student record keeping system.
  9. Enter and maintain faculty information in the college student record keeping system.
  10. Enter, verify, and maintain academically related student data including grades, pre-professional coding, and Advanced Placement credit.
  11. Fulfill classroom reservation requests using our scheduling software, 25Live, following the creation of the Master Course Schedule.
  12. Work with the Wescoe School, maintaining their K:shared drive for the Accelerated Degree Program.
  13. Oversee the creation and preparation of all diplomas.
  14. Oversee all enrollment functions related to LVAIC, including processing cross-registrations and maintaining LVAIC enrollment data.
  15. Extract and report data as required for NCAA compliance purposes.
  16. Support billing functions by maintaining tuition and fee charges associated with courses.
  17. Participate in professional organizations and/or workshops to further professional development.
  18. Assist with registration and add/drop process which includes an understanding of the master course listings and data entry.
  19. Assist with other office processes and serve as back up for other positions within the office.
  20. Complete other special projects and non-routine tasks as assigned.
  21. Some overtime required.

Minimum Qualifications:

  1. Bachelor’s degree with at least one year of experience utilizing SQL required. (Associate’s degree and a minimum of three years of SQL experience may be substituted for this requirement.)
  2. Ability to troubleshoot. Strong computer background, including detailed knowledge of relational databases, reporting software, and spreadsheet tools. Significant data entry experience.
  3. Demonstrated ability to work effectively with people from diverse backgrounds.
  4. Effective oral and written communication skills.
  5. Strong organizational skills and compulsive attention to detail essential.
  6. Able to work both independently and as part of a team.
