Parish Business Manager

General Position Summary: The Parish Business Manager reports to the Parish Pastor and is responsible for the full range of parish administrative functions for St. Thomas the Apostle Catholic Church in Fort Worth, TXand Holy Trinity Catholic Church in Azle, TX the efficient and effective administration of parish financial, capital and human resources. Supports the Pastor, the parish staff and serves the needs of the parish.

Principal Accountabilities:

-Develops/interprets financial procedures; develop annual budget; oversees counting teams; reports financial status to finance council and parish. Oversees all major fund raising campaigns and collection activities.

-Directs the management of parish grounds, buildings, and systems in the absence of a Facilities Manager. Also oversees and coordinates ongoing construction projects with the Director of Facilities at the Catholic Center.

-Participates in strategic planning and perform financial forecasts.

-Develop job descriptions; administers accountable reimbursement program; maintains personnel files; coordinates performance evaluation process; provides staff performance support; coordinates staff development; coordinates staff recognition; manages administrative staff scheduling; coordinates disciplinary process; determines staffing needs.

-Ensures Church data base(s) are maintained and coordinates & oversees Request for Proposals (RFP) with other Church staff during vendor review, selection, and contract negotiation process.

-Supervises Direct Reports by conducting performance reviews; approving time off requests; prioritizing work assignments; monitors work hours and job descriptions.

-Develops/Administers IT policy and procedures; coordinates purchases, supports, maintenance; develops media policy; coordinates website administration.

-Responsible for all facilities maintenance and construction projects, provides for facility access control and safety/fire/security systems.

-Ensures for legal compliance with HR issues, inspections, record retention and destruction.

-Participates in Diocese business meetings and HR training; participates in related associations (NACBA); reviews professional journals, publications.

-Participates with parishioner tuition status reviews to ensure compliance with the Pastor’s guidelines.Also assists school with requests for financial assistance, which also includes Nolan.

-Coordinates Parish Media, such as newsletters, websites, Facebook page, etc. Alsocontributes to the Parish Quarterly Newsletter, if there is one.

-Supports volunteer programs including selection, training, and recognition to insure compliance with Safe Environment Program.

-Responsible for all other projects, tasks, etc., as assigned.

Working Conditions and/or Physical Requirements:

-This position works in a typical office environment, but is subject to stress due to the evolving and quickly expanding needs of the Diocese, tight deadlines and moderate workloads and/or work outdoors as necessary.

-Ability to sit and perform computer work for lengthy periods of time.

-Able to access and maintain centralized departmental files. Involves extending arms and reaching files stored in multiple levels on shelves, climbing up a stepladder to access files.

-Significant amount of time regularly spent answering and speaking on the telephone providing customer service support and problem solving for both internal and external customers.

-Data entry via computer keyboard that requires repetitive and frequent hand and wrist movements.

-Ability to lift up to 35 pounds without assistance and up to 60 pounds with assistance.

Travel Requirements:

-Travel may be required to Diocesan Parishes and/or the Catholic Center, along with occasional trips to vendor locations for meetings.

Education and Experience Preferred:

-Bachelor’s degree required, or 4 to 5 years of comparable work experience.

-3 to 5 years of experience as Manager or Supervisor in an Accounting and Finance environment. Experience within a Catholic Church Administrative Office is preferred.

-2 to 3 years of experience with Fiscal planning and management, general accounting, budgeting and payroll in an Accounting and Finance environment.

-A strong knowledge of the Catholic faith, certification in a religious studies program or willingness to obtain such a certification is preferred.

Knowledge and Skills Preferred:

-Microsoft Office / Intermediate to advanced capabilities with a heavy emphasis in Excel, and Word. Experience with Publisher and PowerPoint preferred.

-Demonstrated professional written and verbal communication skills.

-Demonstrated analytical, customer service skills and the ability to prioritize and multi-task.

-Ability to oversee technology concepts, including personal computer and network server needs.

-Active member in good standing of a Roman Catholic parish Church preferred with knowledge of the Catholic Church organization and functions strongly preferred.

-Bilingual (English/Spanish) preferred.
