Primary Objectives of Position / 1.Assist the Head of Department and the ECE Management Team in the provision of effective coordination of Practicum for all students in the department of Early Childhood Education, ensuring optimal standards are achieved.
2.Assist the Head of Department and the ECE Management Team in the effective coordination of human and physical resources to ensure that targets are met or exceeded and that all expenditure is monitored and managed effectively.
3.Ensure that all activities of the department are consistent with the mission, values and objectives of the organisation.

Specific Accountabilities /
  1. Oversee the administration and management of Practicum procedures, staff and resources within the department to ensure that practicums:
-Meet faculty objectives;
-Are resource efficient;
-Are client focused;
-Are industry relevant;
-Are efficiently planned.
  1. Develop and maintain effective relationships and partnerships with industry, professional bodies and the wider community.
  2. Contribute to the development, implementation and monitoring of the annual Department Strategic Plan.
  3. Oversee practicum service quality and risk management within the department.
  4. Maintain relevant and accurate data bases related to quality and risk management activities.
  5. Provide recommendation to the Head of Department in, the selection and recruitment of casual supervision staff, ensuring that qualifications and experience are appropriate for the program.
  6. Monitor and provide recommendations to the Head of Department on the performance of the practicum assessors.
  7. Brief the assessors on the requirements of each practicum.
  8. Ensure placement task books are accurate and aligned with the current ECE assessment tools.
  9. Oversee the timely input of student placement results.
  10. Respond to and address student concerns and placement issues promptly.
  11. Ensure that all staff receive adequate and appropriate induction and orientation to the department and assigned roles.
  12. Ensure that all assessors are allocated an appropriate mentor and receive regular and timely performance feedback.
  13. In conjunction with the Higher Education and VET Coordinators oversee the collation, preparation and distribution of practicum documentation for students and staff.
  14. In conjunction with Higher Education and VET Coordinators participate in practicum preparation and debriefing sessions.
  15. Act as “first point of contact” for issues or concerns arising during practicum and refer them to the relevant Coordinator as appropriate.
  16. Contribute to the department’s planning for innovative partnerships and fee-for-service activities.
  17. Assistin maintaining and developing cohesive teams within the department that will ensure key objectives are met within an effective and harmonious ‘people-first’ environment.
  18. Actively participate in team meetings and activities.
  19. Support the faculty in the planning, implementation and evaluation of marketing activities.
  20. Act in accordance with Holmesglen’s safety policies and procedures to ensure the department is compliant with relevant OH&S legislation.
  21. Establish and maintain a work environment which is free from discrimination, bullying and harassment in accordance with Institute rules and policies.
  22. Maintainindustry currency directly relevant to the training and assessment being delivered and ensure associated relevant Institute documentation reflects this.
  23. Maintaincurrency in vocational training, learningand assessment knowledge and skills and use this to inform training and assessment, and ensure associated relevant Institute documentation reflectsthis.
  24. Ensure the Department is compliant with Holmesglen's policy and procedure in relation to the Child Safety Standards.

Qualifications / Minimum
  • Relevant degree.
  • Certificate IV in Training and Assessment (TAE40110).
  • An approved teaching qualification at diploma level or above.
Preferred
Postgraduate educational/ management studies.
Knowledge /
  • A sound understanding of the early childhood education field, plus human and physical resource management, including continuous improvement, finance, facilities management, OH & S, equal opportunity and industrial relations.

Experience /
  • Demonstrated experience of working in and managing teams.
  • Substantial industry experience
  • Experience in timetabling

Key Selection Criteria / 1.Well-developed business administration skills including maintenance of accurate data bases and report writing.
2.Demonstrated ability to effectively coordinate and develop a diverse team of staff
3.High-level communication, interpersonal and negotiation skills, including the ability to build effective relationships with key stakeholders and peak bodies.
4.Excellent organisational skills with proven ability in managing a busy portfolio in a timely manner to ensure that organisational timelines are met.
5.Ability to implement systems and procedures which comply with a Quality Assured system and legislative requirements.
6.An understanding of Financial, OHS, Equal Opportunity and Workplace Relations issues.
