Good Afternoon,
Just touching base to provide timely updates as well as check in on everyone to see how things are going. Please let me know if there are any pressing issues that need our attention.

Performance Issues: None this week to report.

Biller’s User Meeting: The next biller’s user group meeting is set for 5/11/11. If you have any questions relating to billing, this would be the time to attend. Please let me know if you are interested, and we will get you the call-in information.

Super User Meeting: Please have at least one member of each clinic attend the next meeting set for 5/18/11 when we will discuss project updates as well as important milestone dates and plan out the next few months. Please do not miss this important meeting, as we need every practice represented. Please consolidate your locations, as we can only have up to 15 people connect via the link below.

Work-Bee Sessions Update: We will begin these session after Dr. Menen Mathias’ site visit May 18th and 19th. Meeting invites will be going out to the practice super user indicated for your practice. We would welcome your attendance on those areas related to your specialty.

Our first sessions will focus on: EPM Changes, Patient Telephone Call, Provider Test Action

MCIR & New HL7 Interface: As we continue to push through the upgrade and meeting meaningful use requirements, we have recently learned that our current way of submitting MCIR Immunization Data will change. The submission of immunization data to MCIR via our EXT Transfer fixed file format is not eligible for the MU incentive, it must be an automated HL7 interface message. You will continue to send data via the current process (EXT Transfer) from NextGen and when MCIR is ready, you will be able to transition over to HL7 that will meet the follow-up requirement. Therefore, we are creating a sub project for this and will do what we can to meet the requirement for this year.

Practice / System Templates: In preparation for Dr. Mathias’ visit please familiarize yourself in KBM with the practice/system templates in HER under the KBM icon. If you would like assistance, please contact Linda or myself to arrange a time to review. We will be reviewing these in great depth on May 19th with Dr. Mathias.

Weekly News Feedback: Now that I have been sending your offices weekly updates for several months, it’s time to re-evaluate the effectiveness of these communications. I welcome feedback on what can be improved to better our relationships with you.

1.  Do you find this information helpful?

2.  Are the communications too frequent?

3.  If Yes, what time frame would be acceptable?

4.  Is there information you wish to see and/or hear about?

5.  Am I targeting the right people?

Meaningful Use: We have trialed our first run of Meaningful Use Crystal Reports with the new version. There is still a long way to go, but we are headed in the right direction. A big thanks to Dr. Cook and Linda for taking on this enormous task.

Educational Opportunities:Below is a list of available ‘free’ webinars offered by NextGen. If you wish to participate in a session, please let me know the topic, date, and time, and we will get you registered. Please take advantage of these free sessions that are being offered.

Communication / Feedback: We are continually looking for ways to improve our communication with such a small staff. We currently have in place the following for communicating:

In order to make our communication more effective to more physicians/staff, can you please share their email addresses with us? If you have any other suggestions, please let us know how we might be able to improve. Please take advantage of all the information that is available to you.

Known Issues: If we know about an issue that has the potential to affect others, we will certainly communicate it as quickly as we can. In order to be consistent, we will keep this as a standing item on our weekly communications. If you do have a known issue, please forward it to myself and I will make sure to email it out to everyone in the weekly email.

Please let me know if there is anything else you need, if there are any issueswe should be aware of, or if there is anything else we can be doing for you!
