Functional Area: Project Systems / Perform Mass Change
Purpose
Use this procedure to make large scale changes to master data simultaneously.
Trigger
Perform this procedure when large scale changes to master data are necessary such as an accountant needing to be replaced with a new accountant due to a resignation.
Prerequisites
Master data must exist in the system.
Menu Path
Use the following menu path to begin this transaction:
  • Select AccountingProject SystemBasic DataToolsMass ChangeExecute to go to the Mass Changes in the Project System screen.

Helpful Hints
  • The R/O/C column in the field description tables below defines whether the field is required (R), optional (O), or conditional (C).
  • On certain screens you may have to scroll to view some data entry fields.
  • Utilizing the dynamic selection may be the most efficient method of completing a mass change in certain situations. This method is shown in this document.
  • Save the log that displays the changes to the master data for future reference in case the mass change has to be reversed.
  • Take caution when executing a mass change because there is not an undo function.

1. / Start the transaction using the menu path or transaction code.

Database prof. / Required / Key identifying a profile for selecting data from the database; This is the Project information system profile
Example:

Click to select database profile from drop-down list. Choose the “Standard selection (structure).” See comments section for an example of the drop-down box.
Click to save Database prof to the user’s profile in order to bypass selecting this profile each time.

5. / As required, complete/review the following fields:

Project / Required / A business undertaking involving a predetermined goal to achieve with prescribed funds and operating resources, to an agreed level of quality, and by a particular date

Enter the desired project definition or range of project definitions or choose from the match code. This field is required when the WBS element field is not utilized.
Unlabeled field (to the right of the Project field) / Required / This is the project to field
Example:

Use this field to enter a range of project definitions.
WBS Element / Required / Work Breakdown Structure Element
Example:
01031Z10
Enter the desired WBS element or range of WBS elements or choose from the match code. This field is required when the project field is not utilized. The wildcard character ‘*’ can be used to select all WBS elements.
Unlabeled field (to the right of the WBS Element field) / Required / This is the WBS Element to field
Example:

Use this field to enter a range of WBS elements only if necessary. If the wildcard character was used, then leave blank.
Network/order / Required / Number which identifies an order within a client
Example:
N/A
This field will not be used.
Activity / Required / Separate step within an operation; Different types are assigned to the various activities; Examples of activities include: Example, Production, Set up, Tear down, Maintenance

Level / Optional / Hierarchical level of element in the WBS
Example:

Enter the level of WBS elements to be changed.
Unlabeled field (to the right of the Level field) / Optional / This is the Level to field

Use this field to enter a range of levels.
6. / Click to further define the criteria by Dynamic Selections.

New value / Required / Used in the mass update functionality to specify the required new field value for the mass update of SAP data objects

Enter the new value that will replace the old value. Click to select from a drop-down list.
Replace only / Optional / Used in the mass update functionality to specify the data that should be updated (replaced with a new value) according to the mass update specifications defined

Select this indicator to replace one data element with another. This is another option to complete a mass change other than the dynamic selection method.
Unlabeled field (to the right of Replace only indicator) / Optional / Used in the mass update functionality to specify the required replacement field value for the mass update of SAP data objects

Enter the old value which will be replaced. Replace only indicator must be selected.
