Getting Started

Function: Login and access the system

Description:

Login using the details provided to you at the practice:

Complete Registration

When the patient logins to the system for the first time, they are directed to a wizard to complete the registration process.

These are the steps;

My Contact Details

Function: Allows patient to enter the rest of their details such as address and mobile number.

The system accepts Ireland and Uk Mobile numbers.

Change Password

Function: This allows the patient to save a new password, one that is easy to remember for them.

There are two button options on this screen

Click when you don’t want to add anybody to your account. This brings the patient to a screen informing that they have completed the process and that their details will need verified before they can start using the system. The patient will be emailed this when this has been achieved.

Click when you want to add dependants/husband etc.

You can always add more people to your account later.

Add Additional People

Function: Allows patient to add a person that they will be responsible for making appointments, requesting repeat prescriptions and making general queries for.

By default, the address fields show the group leader’s address but this can be changed here if the person you are adding lives at a different address.

Replying to Messages

You can click the login here link contained in the body of the email. This will take you to a login screen. If you are already logged into the system, it will take you to direct to the message view screen.

Also, you can view messages at Home/Messages

The grid lists all messages sent/received in the last 7 days by default. The user can also select from the dropdown to view messages from the last 30 days or view messages older than this in the message archive.

Click on the name, this directs the user to the view message screen.

  • Enter some content into the response box and click

Latest Message Updates

On login, the user is directed to their latest updates which list messages for your attention.

Screenshot:

For example, when the recipient has added a reply to your message or when you receive a new message.

All messages stay here until the patient reads the message.
Message Archive

Menu Location: Messages >

This directs the user to the archive page to select their search dates.

Screenshot:

The violet colored messages have been sent by you to other users. The white messages were sent to you from other users.

Click on the name to view the message.

My Details

Request member be removed from account
Request removal of a Patient

Menu Location: My Account> My Details

Function: patient requests a member be removed from their account.

Screenshot:

  • The Patient Group Leader cannot delete members directly; the patient requests that this be done via the icon beside by patient in the grid.
  • This button sends an email request to practice admin who can handle the request by logging into the system.
  • The user sees this message

Move to a Different Group

Menu Location: My Account> My Details

Patients can request to be moved to another group.

A person can only be moved to another account if they are the sole member of their own account, i.e. no dependants. You will only see if you have no other members in your group.

  • Click on the button
  • Enter the details of the person whose group you wish to join.

  • An email is sent to Practice Admin detailing the above.

Requesting an over 16 account

Menu Location: My Account> My Details

Function: patient requests a member be given their own account.

The Group leader patient user must first request the over 16 yr old be given their own account.

Menu Location: Logged in as Patient >My Account> My Details

Request an account for the over 16, there will be an icon beside an over 16 yr old in the members grid.

This directs the patient to a form to input the patients email address and mobile which are necessary for them to have their own account.

  • The new patient will have its own group/family name – by default, their name appears in the group name textbox and this can be changed to something else here.
  • Submit and wait for verification.
  • At this stage, you should be redirected to your group page and a message appears The patient sees this message

Patient Forms

  • You will only see the contact form if the group you are in receives emails and if the contact form is switched on for your practice.
  • The email alert user for the practice receives these forms in their inbox on the system and their email account.

Prescription

First select who the prescription is for.

The form is then loaded for you to complete:

First select who the appointment is for.

The form is then loaded for you to complete

Contact Query

You will only have access to the contact form page if the practice allows emails directly from patients and/or if your group is set up to access the contact form.
