Part-time administrator

Positive Aging in London (PAiL) is a network working across the London Boroughs consulting with older people to enable the voice of older Londoners to be heard on issues that affect their health and well-being in later life. This includes regular events mainly in central London. We are looking for an enthusiastic and organised person to join our small team that all working from home.

Job Description: Your main responsibilities will be to provide administrative and clerical support to the chair and executive to maintain an efficient and effective voluntary organisation.

Hours: initially 16 hours a month to be worked flexibly possibly with a few paid additional hours to support specific pieces of work and events.

Location: to work from home with occasional attendance in Central London to support events

Salary: £12.50 per hour on a self-employed basis

Main Job Tasks and Responsibilities:

·  Answer the phone and take accurate messages or pick up voicemail at regular intervals and email messages to relevant committee members.

·  Compile correspondence and email communication on behalf of the committee in relation to the Charity Commission or funding applications

·  Monitor incoming emails and answer or forward as required

·  Maintain computer-based information office filing and storage systems

·  Maintain and update websites (Joomla) and internal databases (Access)

·  Arrange event venues, refreshments etc and bookings through Eventbrite

·  Advertise events via posters, emails, websites and social media and assist at them

·  something about taking minutes at quarterly committee meetings?

·  Photocopy and print various documents for events

·  Research information when requested

·  Update and maintain internal staff contact lists – is this necessary?

·  Monitor and maintain office supplies, including stationery

Education and Experience

·  Numeracy and literacy skills - GCSE Maths and English (A – C grade)

·  Competent computer skills including Microsoft Word, Outlook, Excel, Access, Publisher and PowerPoint to produce correspondence and documents and maintain presentations, records, spread sheets and databases.

·  Internet skills including use of e-mails, group messaging and data collection

·  Experience of Wordpress and Joomla websites desirable but training can be given What is Joomla?

·  Social media skills: using Facebook and Twitter to improve take up of our services

This is brilliant but can we put in something about

possibility of appealing to a retired older person or someone with a commitment to older people’s agenda

Reminding them of our legal responsibilities to inform HMRC and that applicants must have the right to remain in UK

No dedicated office so we are reliant on them using their own equipment to photocopy (or expect them to use the AUKL’s office equipment?- we need to think this issue through don’t we?)
