Part 1: Job Description

1.0 Job Purpose:
To provide assistance within the Business Development Directorate by supporting fundraising initiatives which will enable the organisation to grow, in line with the strategic direction.
Provide strong administration and event coordination support, to include proactively engaging with donors to develop positive relationships with an aim of developing the fundraising remit within the Organisation.

5.0 Location: Hydepark House, 3 McKinney Road, Newtownabbey

6.0 Hours of Work: 40 hours per week (including breaks) (flexibility required)

7.0 Salary Grade 4 salary scale: £16,936 per annum

12.0 Key Responsibilities:

·  Coordinate the administrative needs of the Director of Business Development and Fundraising Manager.

·  Support the Director of Business Development and Fundraising Manager in the management of their diaries/calendars in relation to meetings and the required paperwork for these.

·  Primary contact for providing advice and guidance on fundraising enquiries.

·  Responsible for the development and distribution of fundraising packs to staff and community groups.

·  Develop positive relationships with local schools and community based groups and act as an advocate on behalf of Extern’s Fundraising team.

·  Lead responsibility for the maintenance of the fundraising database CHAMP including filing of any correspondence from donors.

·  Responsible for producing monthly fundraising reports from CHAMP including funding pipeline.

·  Primary responsibility for the administration of Extern’s fundraising processes – e.g. thanking and acknowledgement of donations.

·  Support the Fundraising Manager in all aspects of Event organisation including cultivating and networking events.

·  Organise community fundraising events – e.g. street collections.

·  Support the Fundraising Manager in delivering Extern’s Fundraising Action Plans.

·  Proactively identify fundraising initiatives.

·  Work alongside Communications team to produce fundraising literature and social media output.

·  Support Extern’s fundraising volunteers.

·  Manage supplies and stock of fundraising materials.

·  Research fundraising opportunities and other charity activities under the guidance of management.

·  Work closely with Finance team to ensure all income is recorded to the fundraising database.

·  Responsible for the maintenance of the Fundraising inbox and ensuring emails are responded to/forwarded to the appropriate person(s).

·  Manage workload in accordance with appropriate deadlines/SLT meeting dates.

·  Contribute to meeting discussions and take minutes at meetings as and when required.

·  General administration duties including preparation of paperwork, filing, archiving, faxing, photocopying and answering telephone calls.

·  Provide support to the Communications Team during staffing needs as and when required.

·  Any other reasonable duties as required by the Business Development Team.

·  Attend and participate in internal and external meetings as required.

·  Develop and maintain appropriate professional relationships with colleagues and stakeholders.

Training

·  Responsible for keeping abreast of current legislation and Extern’s policies and procedures, and attend appropriate training as and when required.

·  Take reasonable care for the health & safety of themselves and of other persons who may be affected by their work.

·  Conform to all rules, Extern’s Health & Safety Procedures, safe systems of work and not improvise by using methods, tools or equipment which entail unnecessary risk.

PERSON SPECIFICATION

Essential Criteria:

·  A minimum of 4 GCSE’s, including English and Math’s (Grade C or above) or equivalent e.g. relevant NVQ Level II.

·  A minimum of 2 years’ experience working in an administrative role within a target driven/event organisation environment.

·  Excellent interpersonal skills and ability to communicate well with a broad range of people.

·  Experience of using Microsoft Office packages including MS Word, Excel and PowerPoint and mail merging.

·  Flexibility to work occasional unsocial hours, weekends, evenings and travel – as required.

·  Full driving licence and access to use of a car, with relevant business insurance to undertake duties. This includes the ability to undertake work across a wide geographical area.

Desirable Criteria:

·  Experience of providing support within a fundraising team.

·  Experience in supporting volunteers and other groups.

·  A minimum of 2 year’s administration of databases.
