Position Description

Tri-Parishes of

St. Joseph’s, Good Thunder; St. Teresa’s, Mapleton;

and St. Matthews, Vernon Center

Position Summary:

The Parish Administrator is a person of faith, a professional administrator, a steward of

human, financial and physical resources of the parish. The work of the Parish

Administrator is intended to support the work of the Pastor and to enable other ministries

to function effectively. The primary focus of the role is one of service to the total

ministry of the parish within the context of Christian values as expressed in the tradition

of Roman Catholicism. The individual in this position shall maintain the vision and

direction of the Tri-Parish community in all aspects of the role of Parish Administrator.

Essential Duties and Responsibilities:

Works with tri-parish bookkeeper and Pastor in the development of a parish budget as well as prepares, manages and monitors the parish budget of each of the 3 parishes;

With the Pastor, oversees the disbursement of parish funds consistent with budget approvals and responsible cost control measures;

With the tri-parish bookkeeper prepares Year-End Reports required for the diocese of Winona;

Maintain personnel files for each employee according to diocesan guidelines;

With the Pastor and/or Finance Council’s approval, purchase and procure capital equipment as authorized; arrange for repair of office equipment when needed;

Following diocesan guidelines, formulate and enforce procedures and controls of weekly collection function at each parish, working to maintain similar procedures at all parishes;

Oversee the development and implementation of maintenance programs for the building and grounds;

Plan equipment needs. Maintain inventory procedures and controls for all capital equipment;

Oversee compliance with code, safety and environmental regulations and practices;

Manage capital improvements and development programs of church and building properties;

Negotiate and monitor maintenance agreements;

Oversee building security;

Attend Finance Council meetings of each parish;

Coordinate, guide and lead the parish staff in accomplishing the mission of the parish;

Attend workshops and/or info sessions as needed to remain updated on all software.

Develops and implements personnel policies. Assures compliance with pertinent church and civil responsibilities;

Coordinate and manage parish liability and property insurance programs;

Prepare, type and copy weekly bulletin; supervise volunteers who fold bulletins; mail.

Type general correspondence such as correspondence, agendas, minutes, reports, programs and flyers and mail and distribute as needed;

Update tri-parish census and sacramental records; prepare sacramental certificates as needed;

Schedule and record Mass intentions

Collaborate with cemetery board to maintain cemetery records;

Act as Safe Environment Coordinator for the tri-parish; ensure that aspects of the Safe Environment Program of the Diocese and the Tri-parish are carried out.

Work with Faith Formation coordinator on scheduling, communication, and other needs as they arise;

Greet and meet visitors at the tri-parish office;

Answer phone and direct clear and accurate information; Answer routine questions and direct callers and visitors to correct person;

Pick up mail at post office and distribute;

Maintain the tri-parish calendar;

Schedule use of parish facilities and make sure all procedures and policies are followed;

Notify pastoral staff of those who are hospitalized;

Maintain and update the Ministry program;

Order liturgical supplies when needed;

Schedule liturgical ministers on a quarterly basis and distribute schedule;

Prepare, type and coordinate the bulk mailing of newsletter

Maintain tri-parish website;

Keep accurate account of any pledges and payments; send out annual statements of individual contributions and reminders to those who are delinquent in their pledge fulfillment;

Prepare St. Teresa CCW booklet for the President and Unit Chairperson.

Provide for the temporal needs of the poor, lonely, and disenfranchised;

Coordinate homebound ministry

Call forth, collaborate with, and communicate with volunteers;

Initiate and communicate program and event ideas that promote evangelization the tri-parish mission;

Contribute to maintaining the utmost level of confidentiality and integrity in any and all matters pertaining to the tri-parish, its parishioners, employees and Pastor;

Attend Pastoral Council meetings;

Other duties as required/requested by the Pastor.

Qualifications:

Preferred: Bachelor’s degree (B.A. or B.S.) in Business Administration, Human Resources or a related field from a 4-year college or university. Two-year certificate from a college or vocational school or an equivalent of education and experience may be substituted. Previous experiences in the business and/or financial field a plus.

The person hired in this position must possess a spirit of collaboration;

Individual will be an experienced manager with strong communication skills, blended with an understanding of the social teachings of the Church;

Individual will be dedicated to continual spiritual and intellectual growth through such activities as reading, attendance at seminars and workshops;

Individual will have the ability to translate one’s belief’s into practical ministry through knowledge and understanding of official Catholic social teaching and a knowledge of diocesan and parish structure and operations;

Individual will possess a general knowledge of the practices of a non-profit organization;

Individual will possess skills in conflict resolution and correct reporting and follow-up procedures;

Individual will demonstrate initiative and self-direction and possess strong writing and speaking skills to effectively communicate on various parish issues;

Individual will have the ability to establish and maintain effective working relationships with other church officials, employees, parishioners, community groups and the public to provide leadership in the Catholic faith;

Individual will have the ability to plan, organize and implement parish work effectively and the competence to function in a changing environment;

Individual will have the ability to formulate policy in line with Catholic doctrine and communicate to others as necessary;

Working Conditions

This position is considered a full time salaried position for 12 months of the year.

It requires flexible hours, including some nights and weekends.

Church employees must conduct themselves in a manner which is consistent with and supportive of the mission and purpose of the Church. Their public behavior must not violate the faith, morals or laws of the Church or the Diocese. It is expected that all employees respect Catholic doctrine and religious practices.

The Diocese of Winona Code of Conduct must be followed at all times.

This position does require supervising of at least 3 individuals.
