Application Guidelines for International Internship Grants

for the 2012 Academic Year

Purpose

To foster international internships and international pre-internships (short-term programs) for students at international organizations, international NGOs, etc., as outlined below, with the aim of cultivating talented peoplewho will be able to take advantage of their expertise and play an active role on the international stage in the future.

1. International Internship Grant (One Month or Longer) Application deadline is over.

Application Period / Number of Applicants to Be Awarded Grants

May 21, 2012 (Mon) – June 20, 2012 (Wed) 5:00 p.m. (Japan Time)

Approximately 13 applicants (*If there is a large number of applicants, preference will be given to students whohave taken “International Internship I.”)

Qualification Requirements Applicants must meet all seven requirements listed below.

1) The applicant must be a student enrolled ina master’s or doctoral degree program at OsakaUniversity

(includes foreign students*).
*Foreign students are advised to contact GLOCOL office prior to application, in order to check their eligibility in connection to other sources of grant or scholarship.

2) The applicant must satisfy one of the following course or status requirements.

・Be currently takingthe Global Collaboration course “International Internship I”

・Have completed the above course during the 2011 academic year

・Have secured an internship or be currently going through negotiations for an internship*1*2, irrespective of whether the applicant has taken the above course or not

*1 Grants cannot be awarded for international internships that are already underway at the time of application.

*2 Provided that the applicant is able to secure insurance and fill out the other paperwork beforehand under the guidance of a GLOCOL instructor in Japan.

3) At the time of application, the applicant must have gained prior approval from his or her supervisor to do an internship for one month or longer.

4) The applicant must have the language skills necessary for participating in the international internship—English or the language of the respective country.

5) The applicant must accede tothe overseas travel accident insurance designated by the GLOCOL.

6) The applicant must not be receiving another scholarship or grant from OsakaUniversity.

7) The applicant must not be receiving theInternational Pre-Internship Grant, described in section 2 below, during the same academic year.

Grant Amount

Maximum grant amount:

(1) Between one month and less than three months: 200,000 yen per person

(2) Three months or longer: 300,000 yen per person

*The grant amount will bedeterminedoncethe internship has been secured. The actual grant amount will be used to cover travel expenses.

Note: Grant money will be paid(deposited in a bank account under the name of the applicant) after the completion of the internship.

The 2012 International Internship Grant is applicable to international internships that are secured by late December 2012 andbegin by the end of February 2013.

Internship Types

A) Internships at Self-identified Organizations: Independently identify and apply for an internship.

Examples of places where you can intern:

International organizations, international NGOs, JICA (Japan International Cooperation Agency) Overseas Offices, research institutes and think tanks located abroad, university-affiliated research centers located abroad, etc.

Grant recipients:

Approximately 10 graduate students

B) Internships at Specific Organizations

B-1) Organization for Economic Cooperation and Development (OECD) Internship (2-6 months)

An internship at the OECD Headquarters (Paris, France).

Duties: Research and preparation of documents, literature review, collection and evaluation of statistical data, participation in the drafting of reports, etc.

Internship posts: Applicants may be accepted at a directorate such as Environment Directorate, Directoratefor Science, Technology and Industry, Directoratefor Education, Statistics Directorate, etc.

*Availability of internship post is dependent upon the needs by OECD at the time of application.

Competenciesassessed as selection criteria:

・The possession of an advanced level of expertise.

・The desire to work at the OECD (or other international organizations) or to be engaged in work not limited to one’s own country which involves interaction with foreign countries.

・The possession of language skills (English or French) sufficient for handling the duties of the internship.

・The ability to work with multinational staff members as part of a team.

・Advanced PC skills and knowledge (especially of Word and Excel).

Grant recipients:A few graduate students (limited to students from OECD member countries)

*We recommend that doctoral students apply for CLIC internships at the OECD.

*OECD Member Countries:

Austria, Belgium, Canada, Denmark, France, Germany, Greece, Iceland, Ireland, Italy, Luxemburg, Netherlands, Norway, Portugal, Spain, Sweden, Switzerland, Turkey, United Kingdom, United States, Japan, Finland, Australia, New Zealand, Mexico, Czech Republic, Hungary, Poland, South Korea, Slovak Republic, Chile, Slovenia, Israel, Estonia

B-2) United Nations Educational, Scientific and Cultural Organization (UNESCO) Internship at the Asia and Pacific Regional Bureau for Education (2-6 months)

An internship at the UNESCO Asia and Pacific Regional Bureau for Education (Bangkok, Thailand).

Duties: Research and preparation of documents, literature review, collection and evaluation of statistical data, participation in the drafting of reports, etc. as required by one of the departments of the UNESCO Asia and Pacific Regional Bureau for Education.

Competencies assessed as selection criteria:

・The possession of an advanced level of expertise.

・The desire to work at UNESCO (or other international organizations) or to be engaged in work not limited to one’s own country which involves interaction with foreign countries.

・The possession of language skills (English or French) sufficient for handling the duties of the internship.

・The ability to work with multinational staff members as part of a team.

・Advanced PC skills and knowledge (especially of Word and Excel).

Grant recipients:A few graduate students

2. International Pre-Internship Grant(Less Than One Month)

Application Period / Number of Applicants to Be Awarded Grants

First term: May 14, 2012 (Mon) - July 10, 2012 (Tues) 5:00 p.m. (Japan Time)

(Selection as needed: Approximately 2-5 applicants) Application deadline is over.

Second term: October 15, 2012 (Mon) – December 9, 2012 (Sun) 5:00 p.m. (Japan Time)

(Selection as needed: Approximately 2-5 applicants) Now open.

*We will stop accepting applications once the estimated number of applicants has been reached.

Qualification Requirements Applicants must meet all seven requirements listed below.

1) The applicant must be an undergraduate or graduate student at OsakaUniversity (includes foreign students*).

*Foreign students are advised to contact GLOCOL office prior to application, in order to check their eligibility in connection to other sources of grant or scholarship.

2) The applicant must satisfy one of the following course or status requirements.

・Be currently taking the Global Collaboration course “International Internship I”

・Have completed the above course during the 2011 academic year

・Have secured an internship or be currently going through negotiations for an internship*1*2, irrespective of whether the applicant has taken the course above or not

*1 Grants cannot be awarded for international internships that are already underway at the time of application.

*2 Provided that the applicant is able to secure insurance and fill out the other paperwork beforehand under the guidance of a GLOCOL instructor in Japan.

3) At the time of application, the applicant must have gained prior approval from his or her supervisor to do a pre-internship (short-term program) for less than one month.

4) The applicant must have the language skills necessary for participating in the international internship—English or the language of the respective country.

5) The applicant must accede tothe overseas travel accident insurance designated by the Center.

6) The applicant must not be receiving another scholarship or grant from OsakaUniversity.

7) The applicant must not be receiving theInternational Internship Grant, described in section 1 above, during the same academic year.

Grant Amount

100,000-150,000 yen (Determinedbased on the travel destination)

Note:Grant money will be paid (deposited in a bank account under the name of the applicant) following the completion of the pre-internship program.

The 2012 International Pre-Internship Grant is applicable to international internships that are secured by late December 2012 and begin by the end of February 2013.

Applicable Programs:

Short-term programs that take place overseas and help students prepare forlong-term internships in the future or short-term programs that provide experiences similar to those offered by an internship. (Participation in international conferences and academic conferences that are held overseas are not subject to this grant.)

*Examples of programs students have participated in:

SetonHallUniversity’s United Nations Summer Program, the World Model United Nations program sponsored by HarvardUniversity, “Field Matching”programs sponsored by the Students Section of the Japan Association for International Health, the Strasbourg Summer Seminar on International Human Rights, etc.

*GLOCOL instructors are available for individual consultations before the submission of your application. The suitability of a pre-internship program will be determined on the basis of the documents submitted.

Documents to Be Submitted

(1) International Internship Grant Application Form (1copy)

*Check the box for the type of grant you would like to apply for: an International Internship Grant or an International Pre-Internship Grant. Enter the organization and country where you would like to intern.

(2) Personal History Form or English Resume (1copy of either)

*If the organization where you would like to intern belongs to the United Nations system of organizations, submit a “UN Personal History Form.”

For other organizations, refer to the document “Sample CV.”

(3) A copy of your TOEFL, TOEIC, IELTS or EIKEN score or another document that proves you have the language skills needed to participate in the internship or program

*If possible, submit a copy of a TOEFL, TOEIC, IELTS or EIKEN score that has been issued in the last six months. If not, then a copy of a score issued before then will suffice.

(4) If you have already contacted the organization where you would like to intern, materials showing the current state of communication between you and the organization

*Emails, etc.

Selection Process

Interviews will be held after an examination of the submitted documents. We will contact you later to set up the date and time of the interview.

Selection Results

  1. International Internship Grant

We will directly notify applicants of the results via email by the end of July 2012.

  1. International Pre-Internship Grant

First term grants: We will directly notify applicants of the results via email by the end of July 2012.

Second term grants: We will directly notify applicants of the results via email by the middle of December 2012.

*Students who have been selected as grant recipients but are unable to secure an internship by late December 2012 or will not be able to leave by the end of February 2013 due to a change in the time frame of the internship will not be able to receive their grants.

Necessary Formalities after the Internship Has Been Secured

Grant recipients will need to promptly submit the following documents to the FIELDO office after the internship has been secured (We will email grant recipients with information about the format of each document at a later date).

(3)Pledge

(4)A copy of your overseas travel insurance card or certificate

(5)A copy of your passport

(6)A copy of your visa

(7)Travel Itinerary (Flight schedule)

(8)Internship Schedule

Necessary Formalities Following the Completion of the Internship

Grant recipients will need to promptly submit the following documents to the FIELDO office following the completion of the international internship. (We will email grant recipients with information about the format of each document at a later date.)

(1)Report on Internship Activities

(2)Travel Report (following the specified format)

(3)Boarding pass stubs (round-trip)

(4)Receipts showing the dates the airplanes were boarded and the arrival and departure locations

(5)Any other documents needed to confirm expenses (visa fee, taxes, etc.)
