Off-campus work-study position checklist:

Find a position at a community service, non-profit, or literacy organization:

  1. Log-onto JobX at and search for work-study jobs.

OR

  1. Locate a position yourself.

**This position may also be used to fulfill an internship requirement for your major.**

Have your supervisor send the Student Employment Manager a detailed description of your position, including what your duties and responsibilities will be.

Make an appointment with the Student Employment manager (by callingStudent Services at 617-627-2000) to discuss the approval of your job. When making the appointment, be sure to state that the meeting will be to request approval of an off-campus work-study position.

Once approved, a work-study contract is drawn up and sent to the organization you will be working for. The organization is responsible for paying 25% of your work-study awardlimit plus 7.65% FICA.

If this is the first time, you will be working through Tufts student payroll, Student Employment will give you a paper ePAF student position worksheet to complete Section I. This form will not be entered in payroll until the contract and payment has been made to the University. Once this form is entered into the payroll system, this will trigger an email to you from Tufts Support Services.

The email you receive from Tufts Support Serviceswill give you access to “Employee Self Service”. You must complete these forms on line on or before your first day of work.

  1. Direct Deposit information (have a check available to obtain your bank routing number and account number.
  2. W-4 and M-4 (federal and state) tax withholding forms. Please Note: Students working, in an approved off campus work study organization, will be subject to FICA taxes because they are not working at the school.
  3. Employee portion of the I-9 Employment Eligibility Verification

Within three business days of your hire, bring one or more of the acceptable forms of identification as described on the I-9 instructions at to Tufts Support Services (TSS) located at 62R Talbot Ave. on the Medford Campus with your proper documentation to verify your I-9 from Monday – Friday, 8:00 am – 6:00 pm.

You may begin working as soon as all payroll forms are completed and turned in,the contract is signed, and the pre-payment has been made by your employer to the Student Employment Office. You may NOT begin working before all of these have occurred.

Keep track of your hours. It is your responsibility to ensure that you do not continue to work additional hours over those for which your employer has pre-paid. When you have used up your entire work-study award, you must stop working; otherwise Tufts will not pay you for the hours over that you work. You may, however, speak to your employer about continuing your work with them if they pay you directly through their organization.
