Extract from Association Rules:

1.  The name of the incorporated association is Oakleigh Tennis Club Incorporated.

The Registration number of the Association is A0012347X.

2.  The purposes of the association are:

1)  To provide a safe, well-maintained environment where tennis can be played.

2)  To promote the game of tennis to any interested member of the community.

3)  To arrange competition tennis for members of the association.

4)  To provide tennis coaching for any interested party who wishes to improve their tennis standard.

5)  To arrange social activities for the enjoyment of members of the association.

3.  The financial year of the Association is each period of 12 months ending on June 30.

The By-Laws of Oakleigh Tennis Club Incorporated

1)  CLUB COLOURS

The club colours will be Purple and Gold (as they have been since they were first adopted in 1908).

The club logo will be as shown:


3)  MEMBERSHIP CATEGORIES

Membership categories are determined (as per Association Rule #12) at the Annual General Meeting (or at a Special General Meeting), and apply from the start of the next financial year. For the 2013-14 financial year, these categories will be as follows:

Membership of Oakleigh Tennis Club shall be in the following categories:

·  Junior Membership

·  Senior Membership

·  Student Membership

·  Mid-Week Membership

·  Family Membership

·  Parent Membership

·  Honorary Life Membership

·  Honorary Annual Membership

These categories are defined as follows:

JUNIOR MEMBERSHIP

ELIGIBILITY

A JUNIOR MEMBER must be under 18 years of age at the start of the financial year.

FEES

To be set according to Association Rule #12 – see By-Law #4 for current fees.

RIGHTS

Junior Members have full playing and other rights in accordance with the Rules and By-Laws, with the exception that their voting rights are transferred to one of their parents or legal guardians (see Parent Membership).

SENIOR MEMBERSHIP

ELIGIBILITY:

A SENIOR MEMBER must be 18 years of age (or over) at the start of the financial year, but must not be a full-time student.

FEES:

To be set according to Association Rule #12 – see By-Law #4 for current fees.

RIGHTS:

Senior members have full playing and voting rights in accordance with the Rules and By-Laws.

STUDENT MEMBERSHIP

ELIGIBILITY

A STUDENT MEMBER must be 18 years of age (or over), but under 26 years of age at the start of the financial year, AND must also be a full-time student.

FEES

To be set according to Association Rule #12 – see By-Law #4 for current fees.

RIGHTS

Student members have full playing and voting rights in accordance with the Rules and By-Laws.

MID-WEEK MEMBERSHIP

ELIGIBILITY:

A MID-WEEK MEMBER is a member who only wishes to use the courts from Monday to Friday.

FEES:

To be set according to Association Rule #12 – see By-Law #4 for current fees.

RIGHTS:

Mid-Week members have full playing rights from Monday to Friday, and full voting rights in accordance with the Rules and By-Laws.

FAMILY MEMBERSHIP

ELIGIBILITY

A FAMILY MEMBERSHIP is available to members of the same immediate family with one or two parents/guardians and any number of their children who would normally qualify for junior or student membership.

FEES

To be set according to Association Rule #12 – see By-Law #4 for current fees.

RIGHTS

Family members have full playing rights, and each member has the same voting rights in accordance with the Rules and By-Laws that they would have if they were individually joined as Senior, Student or Junior members.

PARENT MEMBERSHIP

ELIGIBILITY

A PARENT MEMBER must not already be a member in any other category in their own right, and they must be the parent or legal guardian of a Junior Member.

FEES

There are no fees associated with Parent Membership.

RIGHTS

Parent Members have full voting rights for one (1) vote at an Annual General Meeting or a Special General Meeting on behalf of one (1) only of their Junior children, and to raise issues, or propose or second motions. They can also nominate for any office or position on the committee. If elected they have the same rights as any other member of the committee for the purposes of conducting Association business. Parent Members do not have playing rights.

HONORARY LIFE MEMBERSHIP

ELIGIBILITY

If the committee passes a resolution for a person to be nominated for Honorary Life Membership, a resolution to that effect will be proposed at the next Annual General Meeting or Special General Meeting. If this motion is passed (in accordance with Association Rule #38), that person will become an Honorary Life Member of the Association.

FEES

There are no fees associated with Honorary Life Membership.

RIGHTS

Honorary Life Members have full playing and voting rights in accordance with the Rules and By-Laws.

HONORARY ANNUAL MEMBERSHIP

ELIGIBILITY

The committee shall have the power to issue Honorary Annual Membership to any person in recognition of services to the Association.

FEES

There are no fees associated with Honorary Annual Membership.

RIGHTS

Honorary Annual Members have full playing and voting rights in accordance with the Rules and By-Laws.

4)  JOINING FEES & ANNUAL MEMBERSHIP FEES

Membership fees are determined (as per Association Rule #12) at the Annual General Meeting (or at a Special General Meeting), and apply from the start of the next financial year. For the 2013-14 financial year, these fees will be as follows:

Junior: Joining: $50.00 Annual: $60.00

Senior: Joining: $50.00 Annual: $125.00

Student: Joining: $50.00 Annual: $105.00

Mid-Week: Joining: $50.00 Annual: $105.00

Family: Joining: $100.00 Annual: $300.00

The Family membership cost of $100.00 + $300.00 = $400.00 is significantly less than

the cost of 2 adults + 2 children (4 x $50.00 + 2 x $ 125.00 + 2 x $60.00) = $510.00 or the cost of 1 adult + 3 children (4 x $50.00 + 1 x $ 125.00 + 3 x $60.00) = $505.00.

Greater savings apply if one or more of the children are over-18-year-old students.

Note:

There are NO fees associated with Parent Membership, Honorary Annual Membership, or Honorary Life Membership.

5)  TENNIS VICTORIA MEMBERSHIP FEES

As Oakleigh Tennis Club is affiliated with Tennis Victoria, all members are required to be Tennis Victoria Members, by paying the membership fee (in addition to the club’s joining & annual fees), unless they are already paying it to another club, in which case they must quote their Tennis Victoria Registration Number, and the club they pay this fee to, so their registration status can be verified with Tennis Victoria.

Membership is valid from 1 July 2013 – 30 June 2014.

Membership registration fees for the 2013/14 year are $30 for individuals and $105 for families (which applies to a minimum of four persons, with the fee being set at 3.5 times the individual fee).

Tennis Victoria provides a number of direct member benefits, including:

·  Access to Pennant and Junior Pennant

·  Access to play in sanctioned tournaments

·  Discounts and special offers

·  Hot off the Court e-newsletter

·  Monthly prize draws

·  Tennis ticketing offers (including the opportunity to purchase Australian Open tickets before they go on sale to the general public)

6)  LATE FEES

All membership fees (for the following financial year) are to be invoiced at the start of June and are due by June 30.

Any member who has not paid their membership fees by September 30 will incur a $20.00 late fee.

Any member who has not paid their membership fees by the date when WDTA team registration forms are due (the date of the last committee meeting of the year in December) will not be considered for competition in the following Winter season.

7)  COMPETITION FEES

Members who wish to play competition tennis will be charged a competition registration (or “ball money”) fee, which will be advised at the time that registrations are advertised, and is to be submitted with the member’s competition registration form.

The committee will determine these fees before each season, and they will be based on:

·  the cost of registering each team for competition with the relevant association, and

·  the cost of tennis balls required for that season.

8)  VISITORS

Visitors may play at the club when accompanied by a member.

Visitors must pay a fee of $5.00 per visit before playing.

After 5 visits, a visitor must apply to become a member of the club.

9)  COURT HIRE

Courts are available for hire, provided that this does not interfere with club members’ use of the courts for competition tennis or coaching classes.

The fee for day-time use (without lights) is $15.00 per hour per court.

The fee for night-time use (with lights) is $25.00 per hour per court.

The committee will have the discretion to offer discounted rates to interested parties that require longer term court hire (e.g. schools), the rate being dependant on the number of courts required and the length of the hire term.

10)  KEY HIRE

Keys to the courts and clubhouse will be available to all members upon payment of a $25.00 deposit, which will be refunded upon the safe return of the keys after the member has no further use of them.

Keys will only be issued to members over the age of 18, or parents of (junior) members under the age of 18.

A signed log will be maintained of all members with keys.
