NQT On-Line System at

The NQT On-line system has been set up by Hertfordshire LA to manage NQT Induction for those NQTs registered by schools choosing Hertfordshire LA as their Appropriate Body.

These notes aim to help you through the process but if you have any queries abut the system please contact the NQT office (01438 844755) ir should you encounter any technical problems please contact our Support Line on 01622832460. A copy of this manual can be downloaded from the site – see “Help Documents” in the menu on the home (welcome) page.

First Steps

Every school with an NQT needs to register an NQT co-ordinator so this is the first step. The co-ordinator is the person in the school responsible for overseeing all NQTs.

  1. Log-on to
  2. You will reach the Welcome Page and then enter the details to register an NQT Co-ordinator. You must input an e-mail address (preferably a personalised school address) as this will be the means of communication.
  3. Received Training? asks whether the co-ordinator has been on any Induction Tutor training run by the LA.
  4. Choose a password.
  5. Once complete click “Save Details”.

NB. If your school already has a co-ordinator registered you will not be able to register a second one as your school number will not appear in the drop-down list. (To change the name of your

co-ordinator please refer to“Current Tutor”).

Before you can do anything further you need to be authorised by the NQT admin office – this should be done within 24 hours.

Following Authorisation: Once the co-ordinator has been authorised he/she will receive an e-mail confirming the password and detailing a username. With this information the co-ordinator can log-on to the site.

Logging On

To log-on return to the home page and click the Login box in the left menu or “log-in here” in the third line of the first paragraph. Once you have entered your Username and Password you reach the School Control Panel.

School Control Panel

The “Control Panel” (left hand menu) is the main navigational tool and the options are as follows:

School Details: select to update contact details

School Address: details the name of a recruitment contact but is generally no longer used

List of NQTs: select to access records/Overview page of current NQTs (see below)

Current Tutors: access to details of all the induction tutors registered by the school (see below)

Register an NQT: (see below)

Helpdesk: if you have a query (particularly technical) you can submit it through via the on-line system

Login Details: can be used to change password, if you wish

Logout

At the bottom of the School Control Panel page “Pending Tasks” notifies you as to whether there are any outstanding tasks to be completed. If, for example, an assessment is due select “Complete Assessment” and you will be taken directly to the assessment form.

Register an NQT

Select “Register an NQT” and complete the three sections of the registration form.. Some of the fields are mandatory and you will not be able to proceed to the next page without completing these fields. Should you not be able to proceed you will be given an explanation as to why not. Given below are a few guidelines to completing the form where clarification may be helpful.

Step One

DfE/TRN No: This is a mandatory field and we are no longer able to make checks of teachers on the Teaching Agency website without the TRN number. If NQTs have not received these details please recommend that they contact the Teaching Agency directly on: 0207 593 5394.

Induction Tutor: If the tutor has already been registered by the school their name should be in the drop down list and simply select the correct name.

If it is a new tutor select “add new tutor” and you will be required to fill in details for the tutor including an e-mail address and telephone number of the school (direct line if appropriate).

Step Two

Full/Part-Time Post: If you select Full Time ignore “How many days worked”

Permanent/Temporary Post: If you select Permanent ignore “Reason for Temporary Contract” and “Temporary Contract End Date”.

Step Three

Training Institution: If you are unable to find the appropriate training institution in the given list please select “Other” or contact the Helpdesk (see left hand menu).

Subjects Qualified: For Primary teachers please select Foundation or KS1 or KS2 or KS1&KS2.

First Term of Induction: For NQTs achieving QTS in summer 2012 their first term of induction will start September 2012 regardless of whether they have started at their school before the end of the summer term. If one or two terms of induction have been completed elsewhere you will be asked to give details of the previous school.

Once you have completed StepThree select “Next Step” and all the registration details you have entered are shown for confirmation. If everything is correct select “Click here to complete registration”.

List of NQTS

You select this option to complete targets, write assessments or change/add to the details for the NQT (eg. change of induction tutor).

When you select “List of NQTs” a list of current NQTs at the school appears (NQTs remain current until their name has been sent to the Teaching Agency).

Depending on the status of the NQT the option under “Action” will vary but once an NQT has been authorised this will usually read “View”.

If you select “View” you reach an Overview Page for the NQT. From this page you can access the targets sheet and the assessments.

Targets

Select “NQT Targets” in the right hand menu on the NQT’s Overview page.

Enter the agreed targets

Select “Save to Complete” if you want to return to the page before submitting them.

Select “Save & Submit” once you have completed the targets.

To Print a copy of the target sheet select “Printable Targets” from the right hand menu on the Overview page.

NB Targets only need to be submitted to the LA for the first term.

Assessments

Under “Termly Assessments” it will display what action is required. If an assessment is due select “Complete”. If you have completed the assessment it will read either “Completed – Awaiting Review” or “Completed and Reviewed”. The review is completed by the NQT Admin Office.

NB Assessments are loaded three weeks before the end of a term. For part-time NQTs you will receive a letter detailing dates for assessments. If they arenot loaded on-line as detailed please call the NQT Admin Office (01438 844755).

Completing an Assessment

Tutors will only be able to complete assessments for NQTs assigned to them.

When you select “Complete” you will be firstly be asked to confirm the contract details for the next term. Make any necessary amendments and select “Save Details”.

The Assessment Form

Important. Please read the advice note in red at the top of the assessment with regard to saving your work as you complete the assessment.

No. of Days Absence: Enter the number of days absence incurred during the assessment period. When the assessment is printed off the number of days will be shown as accumulative over the different assessment periods. For part-time NQTs only include in days of absence days they would have expected to be in school.

Comments by the NQT: To access this section the NQTs can either use their own log-in details (detailed on the Overview page) or click the “Unlock Details” button. If an assessment also needs to be submitted in hard copy (C2/D grades and final) NQTs’ comments can be written by hand.

NB. It is important that tutors discuss the assessments with their NQTs and tick the box to indicate that this has taken place. NQTs should be encouraged to add their own comments but you will not be able to submit the assessment to the LA if there are no written comments and the “I have no comments to make” box has not been ticked.

Saving the Assessment: At the end of the form select either “Save these details so they can be amended at a later date” or “Save and Continue”. If you choose the latter you should receive a message saying that the assessment has been submitted successfully or alerting you to an error.

Once an assessment has been submitted you can use the Print option to print off a copy.

Important: If you grade an NQT C2 or D please submit a signed paper copy of the assessment to the NQT Admin office.

Important: If you are completing a final assessment please submit a signed paper copy to the NQT Admin office. NQTs’ names will not be submitted to the Teaching Agency if we have not receive a signed copy of the final assessment.

Should you wish to amend or add anything to the assessment once it has been submitted please call the NQT office (01438 844755).

Interim Assessment: Should you need to complete an interim assessment because your NQT is leaving the school before completing a full assessment period you have access to create one via the Overview page. This facility is available throughout the term except for the three-week period

before the end of a term when the full assessments are loaded. Please contact the NQT office should you wish to raise an interim assessment during this period.

NB. When printing a copy of the targets or assessments please use the print options detailed above. If you use the File/Print method the forms will be printed without the NQT’s personal details and in the wrong format.

Changing an NQT’s Details

If you wish to change or add any details about the NQT use the right hand menu on the NQT Overview page. Personal details/Training Information/Monitoring Tutor/Contract Details.

For NQTs who have transferred from one school to another school within the appropriate body you will need to select “Associated Schools” in the right hand menu and then all the options will be available.

Monitoring Tutor

If the tutor needs to be changed to a tutor already listed on the system simply select “Monitoring Tutor” and then select the new tutor from the drop down list. If the tutor is a new one he/she will have to be registered as a tutor (see below) before changing the NQT’s details.

CURRENT TUTORS

When you select “Current Tutors” a list of all the registered tutors at the school appears with the number of NQTs assigned to them. (Please delete tutors who have left the school).

If you click the “View” option the details, including username and password, for the tutor are given. Passwords can be changed – click Login Details in Control Panel menu.

NB It is important that tutors are registered with e-mail addresses (preferably personalised ones at the school) otherwise they will not receive notification of their username and password, any general newsletter e-mails, reminders to complete assessments etc and will be unable to access the site.

Also on this page is the option to “Create a New Tutor”. When you are registering a new tutor click this and you will be asked to complete details for the tutor including e-mail address and password. Once a tutor has been registered an NQT can be assigned to them.

To Change Induction Co-ordinator

If the new co-ordinator is new to the school then he/she should be registered as described in “First Steps” above. However before this can happen the previous co-ordinator has to be either deleted (if no authorised NQTs are assigned) or changed to induction tutor (if authorised NQTs are assigned). To do this, select the out-going Induction Co-ordinator from “current tutor” list, click view and then change the position within their details.

If the new co-ordinator is already registered on the system then just change the position within their details.
