Position: Operations and Facilities Manager

Department: Senior Management

Reporting to: CEO

Purpose of role:

As a primary member of the Senior management Team, ensuring the safe, responsive and

efficient operation of the Dalgarno Trust community centre as an accessible and vibrant

resource for the local community. Supporting and contributing to the initiation and

development of new projects, services and facilities in response to local and regional community needs and aspirations.

Working hours: 35 hours per week

Contract: Permanent

Role Summary

§  To ensure that all facilities and functions within the community centre are fit for purpose, operating safely and in full compliance with Dalgarno Trust’s policies and procedures and appropriate UK legislation.

§  As a member of the Senior Management Team to contribute to the initiation and development of new services, projects, business activities and facilities at the centre. Contribute to the strategic business plan as required.

§  To be responsible for all aspects of Health & Safety

§  To work flexibly in cooperation with staff, volunteers and those who use the centre’s facilities to guarantee the safety and security of people and premises at all times.

§  To be the primary point of contact for the determination and resolution of all operations and facilities matters for the organisation, its beneficiaries, staff, volunteers and the individuals and organisations that use and occupy the centre

Technical requirements and accountabilities

§  Manage all operational aspects of the community centre ensuring a safe, secure & welcoming environment

§  Ensure all Health & Safety and risk assessment protocols and procedures are in place and being followed. Additionally, ensure that regular audits and assessments are undertaken and reported to the Senior Management Team.

§  Ensure a programme of preventative maintenance and repairs is planned and implemented for the centre and any additional properties owned and operated by Dalgarno Trust.

§  Develop and maintain a suite of policies and procedures for the organisation appropriate to all its services and business activities

§  Maintain an awareness of safeguarding provisions for children and vulnerable adults and ensure that policies and procedures are updated to reflect changes in legislation or local authority provisions or protocols.

§  To oversee the effective line management and supervision of all volunteers by individual managers to ensure consistency in the allocation of tasks and responsibilities as well as ensuring appropriate recognition and rewards are provided.

§  Manage the relationships with individuals and organisations renting space at the centre and establish formal agreements governing rental charges and associated contractual obligations

§  Respond to the needs of all projects, staff, volunteers and users of the centre by providing technical support as required in respect of all facilities, resources and equipment including IT and telecoms. This to include application of own knowledge and abilities in addition to specialist services provided by third parties.

§  Ensure a consistent adherence to our policies, procedures and protocols by all projects, staff, volunteers users of the centre.

§  By agreement with the CEO, determine and manage an efficient and effective monitoring & evaluation system for the organisation’s projects and business activities.

§  Develop and maintain strong professional relationships both internally and externally by maintaining professional integrity and responsiveness and a reputation for dependability.

§  Other duties commensurate with the role as deemed necessary.

§  All Dalgarno Trust employees and volunteers are required to undertake a DBS check prior to commencing work. Any offer of employment is conditional upon a satisfactory DBS check having been completed.
