TITLE: PROJECT ASSISTANT I

GENERAL DESCRIPTION:

This is a clericalposition responsible for performing general clerical functions supporting the activities of an externally-sponsored project. Responsible for planning, organizing, and performing a wide variety of clerical and bookkeeping activities related to the externally-sponsored project, including: functioning as a receptionist; submitting and tracking purchase requests; compiling data for regular and ad hoc reports; monitoring assigned project activities; and providing customer service and direction to project-related contacts. Works under generalsupervision, with limited latitude for the use of initiative and independent judgment. This is a security-sensitive position. Reports to the Project Coordinator, Project Director, or Principal Investigator.

ESSENTIAL JOB FUNCTIONS:

  1. Assists in the administrative and clerical functions of a project.
  2. Assists in ensuring adherence to established project timetables and schedules.
  3. Compiles data and reports in relation to the project activities.
  4. Assists in the compilation and distribution of reports related to project activities.
  5. Files and maintains office records.
  6. Receives phone messages and schedules appointments.
  7. Greets visitors and provides assistance or direction.
  8. Orders office supplies and materials as directed.
  9. Assists with general purchasing and inventory functions for the project.
  10. Ensures that assigned tasks are in compliance with applicable sponsor, government and university regulations.

NON-ESSENTIAL JOB FUNCTIONS:

  1. Assists with special projects or events as related to the project.
  2. Serves as liaison between internal and external agencies.
  3. May plan and/or coordinate meetings and conferences as related to the project.
  4. May supervise student staffworking on the project.
  5. May receive and/or supervise the receipt of payments from student and others for sponsored activities.
  6. Performs other project-related duties as assigned.

GENERAL QUALIFICATIONS

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:

The individual must possess the following knowledge, skills and abilities or be able to explain and demonstrate that the individual can perform the essential functions of the job, with or without reasonable accommodation.

  1. Knowledge of, or the ability to learn, University policies and procedures.
  2. Knowledge of data entry equipment and of office practices and procedures.
  3. Skill in the use of standard office equipment and software.
  4. Skill in completing assignments accurately and with attention to detail.
  5. Ability to process and handle confidential information with discretion.
  6. Ability to accurately prepare and maintain records, files and reports.
  7. Ability to learn office and university-specific software.
  8. Ability to establish and maintain a good rapport with university faculty and staff, students and the general public.
  9. Ability to maintain effective interpersonal relationships.

EDUCATION:

High school diploma or equivalent is required.

EXPERIENCE AND TRAINING:

Two years of related experience is required.
