Sub:Purchase of Variable Frequency Drive (VFD) for 11 KW electric motor - reg.

Sirs,

Sealed quotations are invited for supply of the articles detailed in the Schedule attached. Quotations shall satisfy the following conditions: -

  1. The cover containing quotation should be superscribed as ‘Quotation for Purchase ofVariable Frequency Drive (VFD) for 11 KW electric motor due on 28.10.2013. Quotations received without this superscription will have the risk of not being considered.
  1. The quotations shall reach this Office by not later than 14.00 hrson28.10.2013 and will be opened at14.30 hrs.on the same day. Late quotations will not be considered.
  1. The rates quoted should be for delivery at CIFT, Cochin. The period up to which the rates quoted are valid should be specified.
  1. Bid Security: The quotations should be accompanied by a bid security of 2% of the total quoted amountin the form of Demand Daft /Bankers cheque in favour of “ICAR Unit CIFT, Cochin” payable at State Bank of India, Willingdon Island Cochin-682003 or Bank Guarantee in the prescribed format and should valid for 45 days beyond the validity of bid.For details visit bid security will be refunded/returned to all unsuccessful firms/parties shortly within 45 days from the tender opening day or receipt of Performance Security from the successful bidder whichever is earlier. If the bidder fails to accept or to furnish the performance security within the prescribed time limit, the bid security may be forfeited. No further correspondence in this will be entertained. No interest will be paid on the bid security.
  1. Performance Security: The successful Firm/Party is required to remit a performance security amounting to 5% of the cost of the item/equipment in the form of Demand Daft /Bankers cheques drawn in favour of “ICAR Unit CIFT, Cochin “payable at State Bank of India, Willingdon Island Cochin-682003 or Bank Guarantee from a commercial Bank as directed by this office. The performance security to be remitted within 10 days from the formal intimation.

  1. The rates and prices quoted shall be in the Indian Rupees Only.
  1. Name & address of the Indian agent with authorization and agency commission may be specifically mentioned.
  1. For goods offered from abroad it should be FOB basis.
  1. Price quoted should remain firm and fixed.
  1. Fax/Telex/E-mail offers will not be entertained.
  1. The equipment has to be supplied and installed at CIFT, Cochin to our satisfaction.
  1. Proper servicing, whenever necessary, has to be provided by the supplier or their authorized agents the facility available should be indicated.
  1. Discount allowable for Research/Teaching institutions may be shown separately.
  1. Users list may also to be attached along with quotation.
  1. AMC charges after warranty, its terms and conditions etc. may be indicated in the case of sophisticated and costly equipments.
  1. Full specification of the article quoted for shall be given in the quotation along with illustrated pamphlets, drawings etc. where available. Wherever possible samples should also be sent.
  1. If taxes, duties or any other charges over and above the rate quoted are payable by the purchaser actuals/percentage of such taxes/duties/charges should be clearly indicated. Please note that this Institute is entitled to concessional sales tax applicable, to Educational/Research Institutions/Laboratories etc. against declaration form. This institute is also exempted from payment of Excise duty.
  1. Quotation shall be complete in all respects such as minimum unit of supply, specifications, rate, amount, mode of despatch etc. If installations are to be made by the supplier it shall be specified and extra charges, if any payable therefore clearly given in the quotations.
  2. In the case of equipments, one year warranty has to be invariably furnished.
  1. Payment will be made by direct credit to bank account through ECS, NEFT, RTGS etc. after satisfactory completion of supply, installation and receipt of pre-receipted bill in triplicate. Name of the Bank, Branch, Address, bank account number, IFS Code, MICR Code etc. may be furnished. Quotations giving any other mode of payment may be avoided.

  1. The Director, C.I.F.T., COCHIN-682029 reserves the right to accept or reject any or all the quotations either in full or in part without assigning any reason.

General terms & conditions

1. Tenders should be submitted in sealed covers superscribed as “Tender for Purchase ofVariable Frequency Drive for 11KW Electric Motor (Name of equipment / item) due on 28.10.2013

Bid Security: The quotations should be accompanied by a bid security of 2% of the total quoted amountin the form of Demand Daft /Bankers cheque/ infavour of “ICAR Unit CIFT, Cochin’’ payable at State Bank of India, Willingdon Island, Cochin-682003 or Bank Guarantee in the prescribed format and should valid for 45 days beyond the validity of bid (enclosed). The bid security will be refunded/returned to all unsuccessful firms/Parties shortly within 45 days from the tender opening day or receipt of Performance security from the successful bidder which ever is earlier. If the bidder fails to furnish the performance security within the prescribed time limit, the bid security may be forfeited. No interest will be paid on the bid security. The bid security of the successful bidder is refunded/returned after getting the required performance security. If the bidder fails to remit the Performance Security, the bid security will be forfeited and no further correspondence in this will be entertained.

  1. Documentary proof of Sales Tax/VAT Registration, Income Tax PAN shall be submitted along with Tender.
  2. Performance Security: The successful Firm/Party is required to remit a performance security amounting to 5% of the cost of the item/equipment in the form of Demand Daft /Bankers cheques drawn in favour of “ICAR Unit CIFT, Cochin “payable at State Bank of India, Willingdon Island Cochin-682003 or Bank Guarantee from a commercial Bank as directed by this office. The performance security to be remitted within 10 days from the formal intimation.If the bidder fails to remit the Performance Security the Bid security will be forfeited and the acceptance of the tender will be withdrawn and no further correspondence in this regard will be entertained.
  3. Fax / Telex / Telegraphic / E-mail offers will be treated as invalid and rejected.
  4. In the event of declaring the opening day of the tenders as a holiday the opening of tenders, accordingly, will be conducted on the next working day at the same time indicated.
  5. The period of guarantee has to be mentioned invariably.
  6. Price for each item should be quoted separately.
  7. The offer shall remain valid for a period of 120days from the date of opening of the tender.
  8. Separate tender form may be used for each equipment / item.

6Last date of receipt of the filled tender is 28.10.2013 at 14.00 hrs.

7Tenders received after 14.00 hrs on 28.10.2013 will not be accepted in any case. No correspondence will be entertained on delayed receipt of Tenders.

8The concerned committee of this Institute will open the Tenders on 28.10.2013 at 14.30.This office will not be responsible for any postal delay, if occurred.

9The Director, CIFT, Cochin – 29 reserves the right to accept / reject in part or full of the tenders in the best advantage of this Institute.

10The equipment has to be installed and commissioned at Institute in Cochin and the same has to be demonstrated, in the presence of the Indenter.

11Proper servicing, whenever necessary, has to be provided by the supplier or their authorized agents.
