NMSA Team Manager Responsibilities

This list may seem long and overwhelming, it is meant as a guide to help you along.

General Responsibilities:

  • Know your club contacts – See North Metro Website, About Us (on left side of page), Board of Directors. Here is a link: It is a good idea to carry their contact information with you/program into your cell phone.
  • Uniform coordinator – Order uniforms
  • Field director – Need to contact for reschedules
  • Referee coordinators – Need to contact for reschedules
  • Competitive directors – Contact for general information, MYSA rules
  • Equipment director – Provides club issued equipment, including game ball, pinnies, cones)
  • Risk manager – Contact for incidents or injuries
  • Be familiar with the MYSA website It is helpful for the following:
  • Playing Nights and Birthyear/age guide (for new players) – You can find these under “Leagues” on the top menu
  • Standings (for U11 and up) – Again, you can find this under “Leagues” on the top menu, or as a quick link on the right side
  • Club contacts (for reschedules) – You can find this under ‘Contacts”, then “Competitive Teams.”
  • Field locations – You can find this through ‘Contacts”, then “Competitive Teams”, or as a quick link on the right side, it provides directions to each field by club
  • Available tournaments –You can find this as a quick link called “Tournaments” on the right side
  • Understand the complaint process – refer complaints if any first to coach, then to competitive director, then to coaching director, then to club president
  • Check with your coach on how they want to handle the following (the coach may want to do some of these things themselves or may want your assistance):
  • Registration for tournaments, winter training, indoor leagues, act as team contact. Coordinate forms needed/payment from players. Complete registration (most materials available online). Request payment (or repayment if paid personally by coach or manager) from your NMSA team account by using the form on the NMSA website (see Forms and Manuals on left side, then “Check Request Form” or “Refund Request” form), Prior to tournaments, or indoor leagues, complete a team roster with player names, jersey numbers and provide to coach for check-in.
  • Bringing players passes to games - Check with coach to determine who will bring to all games (usually coach). Players passes are like gold – no pass means no play.
  • Reporting of game scores – done by telephone after each game (and review team standings for accuracy of scores, etc. – mistakes have been made)
  • Competitive match report – Once your roster is set, you will want to make a master with all players’ names, jersey numbers, and make several copies for each game. You can cross out absent players and add any guests. This form must be ready before check-in at each game.
  • Handling of ref cards (to make sure refs get paid)
  • Reschedules – the MYSA system needs to be updated (instructions and access information are provided at the spring district meetings – a coach or manager –or both – need to be present to get game schedules, etc.)
  • Equipment pick-up and return
  • Check-in for tournaments (usually at least one hour before the game, need players passes and medical waivers)

Throughout the season:

  • Maintain and publish team schedules and other communications, including practices, games, and tournament schedules and provide field directions, also communicate club news, such as PACT required training (new in 2011). A best practice I have seen here is to consistently send a weekly reminder email of the weeks’ coming events. Some teams choose to use a Shutterfly site with reminders, or a Team Outlook calendar. You will also want to communicate tryout/assessment and registration timelines. Know how to best get a hold of parents on short notice (ie weather cancellations). Again, program home/cell numbers into your cell phone.
  • Deposit funds received in NMSA team account (see Forms and Manuals on left side, then “Deposit Request” form). All team financial activity needs to go through the NMSA team account.
  • Work with coaches to plan team activities or fundraising as team desires (fundraising requires a Fundraising application to NMSA, see Forms and Manuals on left side of website)

After Team Formation is complete in fall:

  • Maintain and provide a list of team contacts to each player (add to as new players are brought on). A best practice I have seen is an Excel spreadsheet with player name, jersey number, parent/guardian name(s), home phone, adults’ cell phones, email addresses, address (for ride sharing)
  • Work with coaches to coordinate a parents’ meeting to kick-off things off (usually in fall after team formation). A suggested agenda (feel free to improvise) is:
  • Coaching philosophy (be on time, notify if you will not be there) – coach usually covers
  • Expected training, collect money if plan – coach usually covers
  • Expected playing nights and practice schedules – coach usually covers
  • Tournament schedules, ask parents to bring their vacation schedules in advance to make sure you will have enough players, look at available tournaments (usually published in mid-January on MYSA website) – coach usually covers
  • Team activities – coach or team manager
  • Fundraising if desired – coach or team manager (Fundraising application would need to be completed – available on NMSA website)
  • Collect missing birth certificates – team manager
  • Collect medical release forms – team manager
  • Uniform ordering –team manager
  • Collect any payments due – team manager (most teams will put a small “cushion” in the team fund for incidentals, training equipment, etc.)
  • Collect and maintain birth certificate copies if missing and provide to NMSA registrar (you can scan and email these). Only needed once per player. You will want to keep one team set as these are sometimes required for indoor leagues or (not typically) tournaments.
  • Collect and maintain medical release form for each player and bring to all practices and games (coaches may wish to keep these with player passes) – found on MYSA website, under ‘Publications”, then “Forms”
  • Complete a background check and ensure coaches/assistant coaches do as well (available on NMSA Website, see “Volunteers” on left side)

In the spring:

  1. Put together players passes – obtain pictures and signatures from all players when received, then laminate. After laminating, punch a hole in one corner, and attach together with a ring clip. Usually available in late April, early May, at least a week prior to the start of games.
  2. Schedule team pictures, if desired
