RATIONALE

New Forest Smallisaninclusivecommunitythataimstosupportandwelcomestudentswithmedicalconditions. Weaimtoprovideallstudentswithallmedicalconditionsthesameopportunitiesas othersatschooland achievethisby ensuringthat:

  • AllNew Forest Small staffunderstandtheirdutyofcaretostudents intheeventofanemergency.
  • Allstafffeelconfidentin knowingwhattodoinanemergency.
  • Theschoolunderstandsthatcertainmedicalconditionsareseriousand canbepotentiallylifethreatening.
  • Theschoolunderstandstheimportanceofmedicationbeingtakenasprescribed.
  • Allstaffunderstandthecommonmedicalconditionsthataffectchildrenatthisschool.
  • Staffreceiveadditionaltraining where needed for anychildrentheymaybeworkingwithwhohavecomplexhealth needssupportedbyanIndividualHealthPlan(Appendix1–form1).

PRACTICE

1. This schoolisaninclusivecommunitythataimsto supportand welcomestudents withmedicalconditions

a.Thisschoolunderstandsthatit hasaresponsibilitytomaketheschoolwelcomingandsupportiveto students withmedicalconditionswhocurrentlyattendandto thosewhomayenrollin thefuture.

b.Thisschoolaimstoprovideallstudentswithallmedicalconditionsthesameopportunitiesasothersat school.Wewill helptoensuretheycanbe healthy,staysafe,enjoyandachievemakeapositive contributionandachieveeconomicwell-being.

c.Studentswithmedicalconditionsareencouragedtotakecontroloftheircondition.

d.Thisschoolaimstoincludeallstudentswithmedicalconditionsinallschoolactivities.

e.Parents/carersofstudentswithmedicalconditionsareawareofthecaretheirchildrenreceiveatthisschool.

f. Thisschoolensuresallstaffunderstandtheirdutyofcaretochildrenand youngpeopleintheeventofan emergency.

g.Allstaffhaveaccesstoinformationaboutwhattodoinanemergency.

h. Thisschoolunderstandsthatcertainmedicalconditionsareseriousand canbepotentiallylife- threatening.

i. Allstaffhavean understandingofthe commonmedicalconditionsthatmayaffectchildrenatthisschool.

j.Staffreceiveregularupdates.TheHead Teachersareresponsibleforensuringstaffreceiveregularupdates.

k. Themedicalconditionspolicyisunderstoodand followedbythewholeschool.

2.The medicalconditionspolicyissupportedbyaclearcommunicationplanfor staff, parents/carersandotherkeystakeholdersto ensureitsfullimplementation

  5. StaffaremadeawareofanyIndividualHealthPlansas theyrelatetotheirteaching/supervision groups.Thisisarole forthe designatedperson.

3. Relevantstaffunderstandand areupdatedinwhattodo inanemergencyforthe mostcommonseriousmedicalconditionsatthisschool

a.Relevantstaffatthisschoolareawareofthemost commonseriousmedicalconditionsatthis school.

b.Staffatthisschoolunderstandtheirdutyofcareto students bothduring,andateithersideofthe schooldayintheeventofanemergency.Inanemergencysituationschoolstaffarerequiredunder commonlawdutyofcaretoactlikeanyreasonablyprudentparent/carer.Thismayinclude administeringmedication.

c.Staffreceiveupdatesatleastoncea yearforasthmaandothermedicalneeds where necessary and needed andknowhowto actinanemergency.Additionaltrainingisprioritizedforkeystaffmemberswhoworkwithchildren whohavespecificmedicalconditionssupportedbyanIndividualHealthPlan(Appendix1 Form1)

e.ThisschoolusesIndividualHealthPlanstoinformtheappropriatestaffofstudentswithcomplexhealthneedsintheircarewhomayneedemergencyhelp.

f. Thisschoolhasproceduresinplacesothatacopyofthestudent’s IndividualHealthPlanissentto theemergencycaresettingwiththestudent.Onoccasionswhenthisisnotpossible,theformissent (ortheinformationonitiscommunicated)tothe hospitalassoonaspossible.

g.Ifastudentneedstobetakento hospital,amemberofstaffwillalwaysaccompanythemandwill staywiththemuntilaparentarrives.Thisschoolwilltrytoensurethatthestaffmemberwillbe onethestudentknows.Thestaffmemberconcernedshouldinformthe Head Teachers.

5. This schoolhasclearguidanceaboutrecord keepingforstudentswithmedical conditions

Enrolmentforms

a.Parents/carersatthisschoolareaskediftheirchildhasanymedicalconditions. It is the parents/carers responsibility to notify the school of their child’s medical conditions and support needed and to keep the school updated when there are changes in their medical needs or condition.

b.Ifastudenthasashort-termmedicalconditionthatrequiresmedicationduringschoolhours(e.g. antibioticsto coverachestinfection),amedicationformplusexplanationissenttothestudent's parents/carerstocomplete.

DrawingupIndividualHealthPlans

c.ThisschoolusesanIndividualHealthPlanforchildrenwithcomplexhealthneedstorecord importantdetailsaboutthe individualchildren’smedicalneedsatschool,theirtriggers,signs, symptoms,medicationandothertreatments.Furtherdocumentationcanbeattachedtothe Individual HealthPlanifrequired,(seeAppendix1Form1)

d.Itistheparent’sresponsibilitytofillintheIndividualHealthPlanandreturnthe completedformto theoffice.IftheofficedoesnotreceiveanIndividualHealthPlan,allschoolstaff shouldfollowstandardfirstaidmeasuresinanemergency.TheOffice Administrator will be responsible for contactingtheparent/carer ifhealthinformationhas notbeenreturned.IfanIndividualHealthPlanhasnotbeencompleted, theOffice Administratorwill contacttheparents/carer to organize a meeting for the plan to be completed.

e.The finalisedplanwillbegiventoparents/carers,and relevant school staff.

f.Thisschoolensuresthatarelevantmemberofschoolstaffispresent,ifrequired,tohelpdrawup anindividualhealthplanforstudentswithcomplexhealthoreducationalneeds.

New Forest Small School’s process for developing Individual Healthcare Plans (IHCP).

Parent or healthcare professional informs school that child had been diagnosed, or is due to attend New Forest Small, or is due to return to school after a long-term absence, or that needs have changed.
The Head Teacher co-ordinates a meeting to discuss the child’s medical support needs and who will provide support for the student.
Meeting to discuss and agree on need for IHCP to include key school staff, child, parent/carer, relevant health professional and other medical/health clinician as appropriate (or to consider written evidence provided by them).
Develop IHCP in partnership – agree who leads on writing it. Input from healthcare professional must be provided.
School staff training needs identified and communicated to Head Teacher.
Healthcare professional commissions/delivers training and staff signed-off as competent – review date agreed. Office maintains a central register.
IHCP implemented and circulated to all relevant staff listed on the IHCP.
IHCP reviewed annually or when condition changes by the Head Teacher. Parent/Carer or healthcare professional to initiate

g.IndividualHealthPlansare usedtocreateacentralisedregisterofstudents withcomplexhealthneeds. Anidentifiedmemberofschoolstaffhasresponsibilityfortheregisteratthisschool.Aprocedureisinplacetoensure thatthechild'srecord,contactdetailsandanychangestotheadministrationofmedicines, condition,treatmentorincidentsofillhealthintheschoolis updatedontheschoolsrecordsystem.

h.Theresponsiblememberofschoolstafffollowsupwiththeparents/carersandhealthprofessionalif furtherdetailonastudent'sIndividualHealthPlanisrequiredorifpermissionoradministrationof medicationisunclearorincomplete.

OngoingcommunicationandreviewofIndividualHealthPlans

i.Parents/carersatthisschoolareregularlyremindedto updatetheirchild’s IndividualHealthPlanif theirchildhasamedicalemergencyoriftherehavebeenchangestotheirsymptoms(gettingbetter orworse),ortheirmedicationandtreatmentschange.EachIndividualHealthPlanwillhavea reviewdate.

Parents/carershaveadesignatedroute/persontodirectanyadditionalinformation,lettersorhealth guidancetoinorderthatthenecessaryrecordsarealteredquicklyandthenecessaryinformation disseminated.

StorageandaccesstoIndividualHealthPlans

j.Parents/carersandstudents(whereappropriate)atthisschoolareprovidedwitha copyofthestudent's currentagreedIndividualHealthPlan.

k.Whenamemberofstaffisnewtoastudentgroup,forexampleduetostaffabsence,theschool makessurethattheyaremadeawareoftheIndividualHealthPlansand needsofthestudentsintheir care.

l.Thisschoolensuresthatallstaffprotectstudentsconfidentiality.

m.Thisschoolinformsparents/carersthattheIndividualHealthPlanwouldbesentaheadto emergencycarestaff,shouldanemergencyhappenduringschoolhoursorataschoolactivity outsidethe normalschoolday.Thisisincludedonthe IndividualHealthPlan.

n.TheinformationintheIndividualHealthPlanwillremainconfidentialunlessneededinan emergency.

UseofIndividualHealthPlans

IndividualHealthPlansare usedbythisschoolto:

  • Informtheappropriatestaffabouttheindividualneedsofastudentwithacomplexhealth needintheircare.
  • Identifyimportantindividualtriggersforstudentswithcomplexhealthneedsatschoolthatbringonsymptoms andcancauseemergencies.Thisschoolusesthisinformationtohelp reducetheimpactoftriggers.
  • Ensurethisschool’semergencycareserviceshaveatimelyandaccuratesummaryofastudent’scurrent medicalmanagementandhealthcareinanemergency

Consenttoadministermedicines

o.Ifastudentrequiresregularprescribedmedicationatschool,parents/carersareaskedtoprovide consentontheirchild’smedicationplangivingthestudentor staffpermissionto administermedicationonaregular/dailybasis,ifrequired. Thisformiscompletedby parents/carersforstudentstakingshortcoursesofmedication.

p.Allparents/carersofstudentswithacomplexhealthneedwhomayrequiremedicationinan emergencyareaskedto provideconsentontheIndividualHealthPlanforstaffto administer medication.

Residentialvisits

q.Parents/carersaresentaresidentialvisit formtobecompletedandreturnedtoschoolbeforetheir childleavesforanovernightorextendeddayvisit.Thisformrequestsup-to-dateinformationabout thestudent’scurrentconditionandtheir overallhealth.Thisprovidesessentialand up-to-date informationtorelevantstaffandschoolsupervisorsto helpthestudentmanagetheirconditionwhiletheyareaway.Thisincludesinformationaboutmedicationnot normallytakenduringschoolhours.

r.Allresidentialvisit formsaretakenbytherelevantstaffmemberon visitswhere medicationis required.Theseareaccompaniedbyacopyofthestudent’sindividualhealthplan.

s.Allparents/carersofstudentswithamedicalconditionattendingaschooltriporovernightvisitare askedfor consent,givingstaffpermissiontosuperviseadministrationofmedicationatnightor in themorningifrequired.

t.Theresidentialvisit formalsodetailswhatmedicationandwhatdosethestudentiscurrentlytakingat differenttimesoftheday.It helpstoprovideup-to-dateinformationtorelevantstaffand supervisorsto helpthestudentmanagetheirconditionwhiletheyareaway. Acopy oftheIndividualHealthPlanandequipment/medicationmustbetakenonoff-siteactivities.

RecordofAwarenessRaisingUpdatesandTraining

u.Thisschoolholdsupdatesoncommonmedicalconditionsoncea year.Arecordofthecontentand attendanceofthemedicalconditiontrainingis keptbytheschoolandreviewedevery12monthsto ensureallnewstaffreceiveupdates.

v.Allschoolstaffwhovolunteerorwhoarecontractedto administeremergencymedicationare providedwithtraining,ifneeded,byaspecialistnurse,doctoror schoolnurse.Theschoolkeepsa registerofstaffwhohavehadtherelevanttraining,itistheschool’sresponsibilitytoarrangethis.

w.Thisschoolriskassessesthenumberof firstaidersitneedsandensuresthatthe firstaidersare suitablytrainedto carryouttheirresponsibilities.

6.This schoolensuresthatthewholeschoolenvironmentisinclusiveand favourabletostudentswithmedicalconditions.Thisincludesthephysicalenvironment,aswellas social,sportingandeducationalactivities

Physicalenvironment

a.Thisschooliscommittedto providinga physicalenvironmentthatisasaccessible aspossibleto studentswithmedicalconditions.

b.Thisschoolaimstomeettheneedsofstudentswithmedicalconditionsandtoensurethatthephysical environmentatthisschoolisasaccessibleaspossible.

c.Thisschool'scommitmenttoanaccessiblephysicalenvironmentincludesout-of-school;italso recognisesthatthismaysometimesmeanchangingactivitiesorlocations.

Socialinteractions

d.Thisschoolensurestheneedsofstudentswithmedicalconditionsareadequatelyconsideredtoensure theirinvolvementinstructuredandunstructuredsocialactivities,includingduringbreaksandbefore andafterschool.

e.Thisschoolensurestheneedsofstudentswithmedicalconditionsareadequatelyconsideredtoensure theyhaveaccessto extendedschoolactivitiessuchas schooldiscos,school plays,afterschoolclubsandresidentialvisits.

f.Allstaffatthisschoolareawareofthepotentialsocialproblemsthatstudentswithmedicalconditions mayexperience.Staffusethisknowledgetotrytopreventanddealwithproblemsinaccordance withtheschool’santi-bullyingandbehaviourpolicies.

g.Staffuseopportunitiessuchaspersonal,socialandhealtheducation(PSHE)lessonstoraise awarenessofmedicalconditionsamongststudentsandto helpcreateapositivesocialenvironment.

Exerciseandphysicalactivity

h.Thisschoolunderstandstheimportanceofallstudentstakingpartinsports,gamesandactivities.

i.Thisschoolseekstoensureallclassroomteachers,PEteachersandsportscoachesmake appropriateadjustmentsto sports,gamesandotheractivitiestomakephysicalactivityaccessibleto allstudents.

j.Thisschoolseekstoensurethatallclassroomteachers,PEteachersandsportscoachesunderstand thatifastudentreporttheyarefeelingunwell,theteachershouldseekguidancebeforeconsidering whethertheyshouldtakepartinanactivity.

k.Teachersandsportscoachesareawareofstudentsintheircarewhohavebeenadvised,bya healthcareprofessional,toavoidortotakespecialprecautionswithparticularactivities.

l.ThisschoolensuresallPEteachers,classroomteachersandschoolsportscoachesareawareofthe potentialtriggersforstudents’medicalconditionswhenexercisingandhowtominimisethesetriggers.

m.Thisschoolseekstoensurethatallstudentshavetheappropriatemedicationor foodwiththemduring physicalactivityandthatstudentstakethemwhenneeded.

n.Thisschoolensuresallstudentswithmedicalconditionsareactivelyencouragedtotakepartinout-of- schoolclubsandteamsports.

RiskAssessments

o.Riskassessmentsarecarriedoutbythisschoolpriorto anyout-of-schoolvisitor offsiteprovision andmedicalconditionsareconsideredduringthisprocess.Thisschoolconsiders:howallstudentswill beabletoaccesstheactivitiesproposed;howroutineandemergencymedicationwillbestoredand administered,wherehelpcanbeobtainedinanemergency,andanyotherrelevantmatters.

p.Thisschoolunderstandsthattheremaybeadditionalmedication,equipmentorotherfactorsto considerwhenplanningresidentialvisitsor offsiteactivities. Thisschoolconsidersadditional medicationand facilitiesthatarenormallyavailableatschool.

q.Thisschool ensures riskassessments are carried out by an external provider qualified to do so beforestudentsstartanyworkexperienceoroff-site educationalplacement.Itisthisschool'sresponsibilitytoensurethattheplacementissuitable, includingtraveltoandfromthevenueforthestudent.Permissionissoughtfromthestudentandtheir parents/carersbeforeanymedicalinformationissharedwithanemployeror othereducation provider.

7.Eachmemberoftheschooland healthcommunityknowstheirrolesand responsibilitiesinmaintaininganeffectivemedicalconditionspolicy

a.Thisschoolworksinpartnershipwithallinterestedandrelevantpartiesincludingschoolstaff,and communityhealthcareprofessionalsandanyrelevantemergency practitionerstoensurethepolicyisplanned,implementedandmaintainedsuccessfully.

b.The followingrolesandresponsibilitiesareusedforthemedicalconditionspolicyatthisschool.

Theserolesareunderstoodandcommunicatedregularly.

The Head Teachershave aresponsibility to:

  • Ensurethe healthandsafetyoftheirstaffandanyoneelseonthepremisesortakingpartinschoolactivities (thisincludesallstudents).Thisresponsibilityextendsto thosestaffandothersleadingactivitiestakingplace off-site,suchas visits,outingsor fieldtrips.
  • Ensuretheschoolshealthandsafetypoliciesandriskassessmentsareinclusiveoftheneedsofstudentswith medicalconditionsandreviewedannually.
  • Makesurethemedicalconditionspolicyiseffectivelyimplemented,monitoredandevaluatedandregularly updated.
  • Ensuretheschoolisinclusiveandwelcomingandthatthemedicalconditionspolicyisinlinewithlocaland nationalguidanceandpolicyframeworks.
  • Ensurethepolicyisputintoaction,withgoodcommunicationofthepolicytoallstaff,parents/carersand governors.
  • Ensureeveryaspectofthepolicyismaintained.
  • Ensurethatiftheoversightofthepolicyisdelegatedtoanotherseniormemberofstaffensurethatthe reportingprocessformspartoftheirregularsupervision/reportingmeetings.
  • Monitorandreviewthepolicyatregularintervals,withinputfromExternal Advisorsparents/carers,staffand externalstakeholders.

AllNew Forest Small’sschoolstaffhavearesponsibility to:

  • Beawareofthepotentialtriggers,signsandsymptomsofcommonmedical conditionsand knowwhattodo inanemergency.
  • Callanambulanceinanemergency.
  • Understandtheschool’smedicalconditionspolicy.
  • Knowwhichstudentsintheircarehaveacomplexhealthneedandbe familiarwiththecontentofthestudent’s IndividualHealthPlan.
  • Knowtheschoolsregisteredfirstaidersandwhereassistancecanbesoughtintheeventofamedical emergency.
  • Maintaineffectivecommunicationwithparents/carersincludinginformingthemiftheirchildhasbeenunwell atschool.
  • Ensurestudentswho needmedicationhaveitwhentheygoonaschoolvisit oroutofthe classroom.
  • Beawareofstudentswithmedicalconditionswhomaybeexperiencingbullyingorneedextrasocialsupport.
  • Understandthecommonmedicalconditionsandtheimpactthese can haveonstudents.
  • Ensurethatallstudentswithmedicalconditionsare notexcludedunnecessarilyfromactivitiestheywishto takepartin.
  • Ensurethatstudentshavethe appropriatemedicationor foodduringanyexerciseandareallowedtotakeit whenneeded.

Teachingstaffhaveanadditionalresponsibility toalso:

  • Ensurestudentswhohavebeenunwellhavetheopportunityto catchuponmissedschoolwork.
  • Beawarethatmedicalconditionscanaffectastudent’slearningandprovideextrahelpwhenstudentsneedit,in liaisonwiththeSENCo.
  • Liaisewithparents/carers,specialeducationalneedscoordinatorandwelfareofficersifachildisfalling behindwiththeirworkbecauseoftheircondition.

Firstaidershaveanadditionalresponsibility to:

  • Giveimmediate,appropriatehelptocasualtieswithinjuriesorillnesses.
  • Whennecessaryensurethatanambulanceiscalled.
  • Ensuretheyaretrainedintheirrole.

Specialeducationalneedscoordinatorshavetheadditionalresponsibility to:

  • Ensureteachersmakethe necessaryarrangementsif astudentneedsspecial considerationoraccess arrangementsinexamsor coursework.

Studentshavearesponsibility to:

  • Treatotherstudentswithand withoutamedicalconditionequally.
  • Telltheirparents/carers,teacherorneareststaffmemberwhentheyare not feelingwell.
  • Letamemberofstaffknowifanotherstudentisfeelingunwell.
  • Treatallmedicationwithrespect.
  • Knowhowtogainaccessto theirmedicationinanemergency.

  • Ensureamemberofstaffiscalledinanemergencysituation.

Parents/carershavearesponsibility to:

  • Telltheschooliftheirchildhas amedicalconditionor complexhealthneed
  • Ensuretheschoolhasacompleteandup-to-dateIndividualHealthPlaniftheirchildhasa complexhealth need.
  • Informtheschoolaboutthe medicationtheirchildrequiresduringschoolhours.
  • Informtheschool/providerofanymedicationtheirchildrequireswhiletakingpartinvisits,outingsor field tripsandotherout-of-schoolactivities.
  • Telltheschoolaboutanychangestotheirchild’smedication,whattheytake,when,and howmuch.
  • Informtheschoolofanychangestotheirchild’scondition.
  • Ensuretheirchild’smedicationandmedicaldevicesare labelledwiththeirchild’sfullname.
  • Ensurethattheschoolhas fullemergencycontactdetailsforthem.
  • Providetheschoolwithappropriatesparemedicationlabelledwiththeirchild’sname.
  • Ensurethattheirchild’smedicationiswithinexpirydates.
  • Keeptheirchildathomeiftheyarenotwellenoughto attendschool.
  • Ensuretheirchildcatchesuponanyschoolworktheyhavemissed.
  • Ensuretheirchildhasregularreviewsabouttheirconditionwiththeirdoctororspecialisthealthcare professional.
  • Ifthechildhas complexhealthneeds,ensuretheirchildhasa writtenIndividualHealthPlanforschoolandif necessaryanasthmamanagementplanfromtheirdoctororspecialisthealthcareprofessionaltohelptheir childmanagetheir condition.
  • Havecompleted/signedallrelevantdocumentation.
