SOFTBALL CHAMPIONSHIP BID FORM
- Please complete this bid form as an official application to host the NWAC Softball Championship Tournament. The completed bid form must be returned to the NWAC office by the end of January. The NWAC office will entertain bid offers from NWAC member colleges as well as outside agencies such as sports commissions, visitor and convention bureaus, and other non-educational organizations. Bids can come in the form of 1-3 year bids with special consideration given to 3-year bids.
- Please be advised that after appropriate review, possible site visits, and discussion with the NWAC Executive Board, a contract shall be offered to the selected host school or other agency based upon the terms and conditions of this bid. It is understood that items in this bid process can be negotiated by the NWAC and the bidders so that both parties are fully aware of the final bid. Site selection, control, management, and sponsorship of all NWAC tournaments and playoffs for entry into NWAC tournaments shall be vested in the Executive Board by the NWAC. Site selection will be based upon the review of submitted proposals from individual member colleges and recommendations from various sports committees. The Executive Board shall have the authority to evaluate tournament bids which extend multiple years and result in a selection which varies from a specific sport rotation. This rule shall supersede any conflicting languages in the Bylaws under specific sports.
In submitting this bid, the prospective host site acknowledges the following NWAC policies by initialing on the line in front of each item.
NWAC Obligations
____NWAC is responsible for approving a tournament director. The director will oversee the operation of the tournament and in conjunction with the tournament committee will interpret and enforce all aspects of the NWAC Rules and Policies, which govern the event.
____NWAC will provide $500-$750 to help advertise the event.
____NWAC will provide all appropriate awards.
____NWAC will secure and compensate officials.
____NWAC will assist the host to provide game management support staff for the event.
____NWAC will assist the host to secure adequate lodging for participants and spectators.
____NWAC will be responsible for the printing and distribution of all Event credentials with approval from NWAC. The host acknowledges and agrees that NWAC retains sole discretion over credentials issued for the tournament.
____Income from admission, merchandise, and program sales shall go to the NWAC.
Host Obligations
____The host will work with the NWAC to identify a qualified person to serve as the tournament director of the Event.
____The host will provide NWAC with an event budget which must be approved by the NWAC. The host agrees not to make any changes to the approved event budget regarding both projected revenues as well as estimated expenses without the approval of NWAC. NWAC will not unreasonably withhold its approval and, in the event of disapproval, will provide the host with the reason for its disapproval. The host also recognizes NWAC’s interest and right to have a working knowledge of the event budget.
____The host will provide a competition venue for four (4) competition days.
____The host will provide qualified personnel to setup the facility so that it is championship caliber ready.
____The host will work with the NWAC to provide adequate hotel space for competitors at a roomrate approved by NWAC. Red Lion is a major corporate sponsor of the NWAC and if there is a Red Lion in the area they are the host hotel.
____The host will guarantee an amount of $______to the NWAC to host the event.
____The host will provide information on transportation arrangements, including maps, for allparticipants.
____The host will work with the NWAC to provide adequate medical staff to be present for all competition for the duration of the event.
____The host will provide an emergency first aid facility and first aid supplies on site during all training and competition sessions.
____The host will work jointly with the NWAC to produce an event program.
____The host will provide personnel to adequately staff this event. This includes, but not limited to, security, providing all auxiliary personnel, such as scorekeepers, timers, clerical support, runners, etc.
____The host will work jointly with NWAC in the development of a comprehensive advertising campaign. This should include, but are not limited to, collateral materials, television, radio, print and outdoor advertising.
____The host will provide a hospitality room set up for volunteers, officials and coaches.

I understand the bid material for the said Championship Tournament contains current information concerning the format and all agreements. The information is subject to review, change and could affect the terms of the final contract. It is understood that both parties can negotiate items within the contract so that there is agreement from both parties.
