NASAE Executive Committee Meeting

Conference Call

Jason Davis called the conference call to order at 3:35pm. Executive Committee members present were Jacob Davis, Past President, Alabama; Dean Dittmar, E-VP, Illinois; Jason Davis, President, North Carolina; Charles Parker, Secretary, California; Jerrod Smith, President Elect, New Mexico; Ronnie Simmons, S-VP, Florida; Juleah Tolosky, C-VP, Minnesota; and Jay Jackman, Executive Treasurer, NAAE

Members absent was Rebecca Wallace, W-VP, Washington.

Agenda

Jason Davis welcomed the officers to the first conference call for the new team. He hoped that all were getting ready to take some time off during this season of Thanksgiving.

Updates

Council Dues Paid – NASAE dues to the Council have been paid in the amount of $3,000.

Ag Mechanics Conference - Jason Davis and Dean Dittmar shared information on the upcoming Ag Mechanics Conference being held in Illinois. This year, with a limited number of potential participants, the attendance is limited primarily to surrounding states. It is hoped that next year it will include a larger audience.

Ag Ed Inservice - Discussion occurred on the upcoming Ag Ed Inservice to be held in Indianapolis. National FFA has asked for input on potential topics. Any ideas should be shared with Jim Armbruster or Jason David.

Professional Growth Bids/Search - Jason updated the officers on the search for potential deliverers of a professional development growth program. He has contact Zigler and Elmore. It was suggested that he also contact Vivac as a potential deliverer.

Website - The officers were asked to view the website and provide any suggestions to Charles Parker for implementation.

Financials

Jay Jackman reviewed the financials and membership summaries that had been emailed earlier to the officers. Discussion occurred on Active vs. Associate membership. Possible clarification of the bylaws would help in guiding potential members to which type of membership they should belong to.

Old Business

Audit – Reviewed the minutes of the Audit Committee and their recommendations. After careful consideration Ronnie Simmons moved and Dean Dittmar seconded that based on the number of entries made in our financial accounts and the cost of a formal audit, it was not necessary or prudent for a formal audit to occur at this time. Motion passed by unanimous voice vote.

It was suggested that Jason Davis visit with the members of the Audit Committee to confirm that they reviewed the books and would stipulate that they were in good order in lieu of a missing motion to that affect in their minutes.

Board/Directors Liability Insurance – Topic was not addressed at this meeting.

New Business

Jeff Hicken Proposal – Reviewed the proposal submitted by Jeff Hicken to pay for college student registration fees to attend the ATA conference. After discussion the topic was postponed to the officer meeting which will occur during the upcoming Ag Ed Inservice.

Award Rubrics – After consideration it was agreed that rubrics were not needed at this time. NASAE members would have one vote per category and by voting select the outstanding Convention Program and Annual Report.

Conference Survey – Reviewed the limited responses to the 2016 NASAE Conference Survey. Jason Davis informed the officers that he would be sending out the email a second time in hopes of receiving additional input.

Summit Executive Committee Meeting – It was agreed that the Executive Committee would make every effort to attend the Ag Ed Inservice. Jason Davis would organize an Executive Committee Meeting the morning of the second day during breakfast.

Board of Trustees Vacancy – Jacob Davis moved and Jared Smith seconded to nominate Ronnie Simmons to fill the position on the FFA Board of Trustees. Motion passed by unanimous voice vote.

Next conference call is scheduled for December 5, 2016 at 3:30pm EST.

Jacob Davis moved and Ronnie Simmons seconded to adjourn the meeting. Meeting was adjourned at 4:38 p.m.
