Reclassification of Job Title

Summary

Position Reclassification refers to the process by which position responsibilities are evaluated to determine the appropriate University title and classification. As positions are created and/or as positions change, a reclassification may be requested.

Procedures

Step 1PCQ

A Position Classification Questionnaire (PCQ) is needed to create a new full-time position or reclassify an existing full-time position. The PCQ should be completed by the employee, supervisor and/or director and sent to Extension HR for division review. Form can be downloaded from:

Providing as much information as you can on the scope and depth of the position responsibilities, including providing examples, will expedite the process. Additionally, a thorough and complete job description and departmental organizational chart will also aid in expediting the PCQ process.

Email the completed form with the approved department signatures to MU Extension HR Director.

Step 2HR conducts job audit

A job audit may be conducted by HR to ensure full understanding of the position, particularly to ensure compliance with FLSA exemption regulations, the University of Missouri’s academic/staff classifications, and internal consistency of scope/depth of responsibilities and titles assigned.

If a job audit is to be conducted, HR will contact the employee and/or supervisor to schedule a time to discuss the request for reclassification.

Step 3PCQ Approved

Staff titles - PCQ is reviewed and an internal analysis is conducted by Extension HR, and then forwarded to campus HR for final review and approval.

Academic titles – PCQ is reviewed and an internal analysis is conducted by Extension HR, and then forwarded to the Provost for final review and approval.

All titles - Depending on the funding source of the position, there may be additional approvals necessary.

Step 4Salary Approval

Mid-year reclassification increases may or may not occur with reclassification title changes. At minimum, the employee’s salary must be increased to fall within the new pay range. If the employee’s salary already falls within this range, the supervisor may request an increase pending performance. Typically a 5-10% increase is appropriate, but not guaranteed.

Step 5Effective Date

The approved title and, if appropriate, pay change will take place within 1-3 pay periods after the title & pay have been approved.

At times delays may occur and are not a reflection of the employee’s performance or the organization’s commitment to classifying an employee correctly. However, back pay or retroactive changes are not possible. Extension HR will make every effort possible to assist employees, supervisors and directors with evaluating job titles in order to expedite reclassification requests.
