BackPack Program: A part of a foodbank network that distributes healthy, nutritious, easy-to-prepare foods to children free of charge. This food must be provided a minimum of once a month during the school year for children to take home on weekends and school vacations when other resources are not available.

BACKPACK STATISTICAL REPORTING PROCEDURE

Local Agencies – Backpack Programs

Step 1: Complete the Month and Year

Step 2: Complete the required contact information for your agency at the top of the report.

Step 3: The Backpack Program Statistical Section was designed as a user-friendly table for your backpack program information. The table is divided into four columns. From left to right they are:

Distribution Sites: This column should be completed with the location names of your backpack distribution sites. If you are currently distributing from more than 10 locations, please contact the Member Services Department of the Akron-Canton Regional Foodbank.

Number of Unduplicated Children Served: This column should be completed with the number of UNDUPLICATED children per site served during the month. For example, if your first program site is serving 25 registered children a week four times a month, your UNDUPLICATED count for the first program site is 25, not 100. If you do not register children and different children could be served each week, your UNDUPLICATED count should be a one-day high attendance for the program.

Number of Packs Distributed: This column should be completed with the total number of packs you distributed at each site during the month. In the example above, if the UNDUPLICATED number of children is 25 at a site and the site serves them four times during the month, the number of packs distributed would be 100.

Number of Distributions: This column should be completed with number of times during the month that each sites distributed packs. In our previous example, the children received a pack four times a month, so the number of distributions would be 4.

Step 4: The last row of the table is the Totals row. The two cells in this row with zeros have been set to calculate the columns. In the Number of Unduplicated Children Served column, right-click on the zero (0) with your mouse and select “Update Field.” The cell will automatically total the column. In the Number of Packs Distributed column, repeat the process of right-clicking on the zero (0) with your mouse and selecting “Update Field.”

Step 5: If you choose, add any comments to help clarify the reported information. If you have something that needs immediate attention, contact the Foodbank instead of including it on the report.

Step 6: Email a copy of the report to and don’t forget to save the report for your files. All reports must be retained for three years.

Reminder: Reports are due to the Foodbank by the 10th of the month following the month to which the report pertains. Late reports and failure to submit the reports will result in the account being suspended for a minimum of one month.
