Job Title:Head of Operations
Job Role: to be responsible for ensuring that effective work flow systems are put into place so that the organisation runs in its most efficient and effective way. To improve the working environment and business processes of MSN. To strengthen client relationships and ensure the successful continuance of business operations at the highest level.

JOB DESCRIPTION
  • Serving as a member of the Senior Management Team to ensure organisational effectiveness by providing leadership for all the organisation's operational functions.
  • Working with the Senior Management Team, contributing to the development and implementation of organisational strategies, policies and practices. This position will also interact with the Board of Trustees.
Organisational Leadership
  • Contribute to short and long-term organisational planning and strategy as a member of the SMT
Responsibilities:
  • To be Company Secretary for MSN’s group functions
  • Improve the operational systems, processes and policies in support of MSN’s mission -- specifically, support better management reporting, information flow and management, business process and organisational planning.
  • Manage and increase the effectiveness and efficiency of Support Services (HR, H&S, administration, reception, course enquiries, student admissions and registrations (for MCI), and building services such as cleaning, maintenance, security, pest control, through improvements to each function as well as coordination and communication between support and business functions.
  • Play a significant role in long-term planning, including an initiative geared toward operational excellence and the highest standards of service delivery.
Organisational Effectiveness
  • Manage all operational functions.
  • Increase the effectiveness and efficiency of Support Services through improvements to each function as well as coordination and communication between functions.
  • Drive initiatives in the management team and organisationally that contribute to long-term operational excellence.
  • Providing advice to Senior Management on matters related to compliance, fundraising, tax and insurance questions, and business structure and growth.
Risk Management
  • Serve as primary liaison to legal counsel in addressing legal issues e.g. copyright, antitrust, governing instruments, partnerships, licensing etc.
Governance Meetings
  • Prepare the annual schedule of meetings
  • Act as secretary in the checking of agendas, circulation of papers and the preparation of minutes
  • Keep Companies House and the Charity Commission records up-to-date
PERSON SPECIFICATION
Required Knowledge, Skills and Abilities
  • Knowledge and experience in organizational effectiveness and operations management implementing best practices.
  • Demonstrated leadership and vision in managing staff groups and major projects or initiatives
  • Excellent interpersonal skills and a collaborative management style
  • A “can do” mentality to problem-solving and a commitment to get the job done
  • Willingness to be hands-on
  • Intermediate knowledge of electronic spreadsheets
  • Strong organizational, analytical and interpersonal skills.
  • Strong verbal and written communication skills.
  • Proactive anticipation of impacts on workload/issues to team deadlines
  • Positive work attitude including willingness to work some longer hours during peak periods.
  • A demonstrated commitment to high professional ethical standards and a diverse workplace
  • Ability to challenge and debate issues of importance to the organisation.
  • Excellentproject, planning, change and time management capabilities
Education
  • Candidates should ideally be educated to degree level in a relevant field.
  • Postgraduate qualification in HR OR H&S OR Facilities management would be a decided advantage
Experience
  • A minimum of 4 years of progressively responsible experience (ie line management) for a charity, company or division of a large corporation in most of the areas specified under “Responsibilities”.
ICT
  • Excellent computer skills and proficient in excel, word, outlook, and access
Working Conditions
  • This is a full time post
  • Primarily in an office environment
  • Will be expected to travel as needed to charity subsidiaries from time to time.
Supervisory: There is a number of administrative staff to supervise (currently 6 staff)
