Minutes of the Elie Sports Club Committee of Management meeting held in The Pavilion at 5.30 pm on Friday 8th January 2016.

Present: John Fingland, Chairman, Catherine Macintosh, Wendy Smith, Angie Russell, Pauline Bradshaw, Fiona Pratt, Craig Hobkirk, Frazer Thomson, Jason Elles, Bobby Dickson

In attendance: Gavin Cook, Gordon Fleming and Tim MacDowel, Secretary.

  1. Apologies: Andrew Forgan. The Chairman welcomed Frazer Thomson back onto the Committee.
  2. Minutes of the meeting held on 16th October. These were approved and signed by The Chairman.
  1. Matters arising not covered in the agenda:
  1. GHC Maintenance Contract. The Chairman reported that he had met with Gordon Fleming regarding the issue of litter bin management and that this subject was now firmly back on the list of tasks to be undertaken on a regular basis by GHC greenkeeping/ maintenance staff. The Committee agreed that the resultant lack of litter would significantly add to the overall impression of the area, and went on to suggest that steps should be taken to improve planting in the various bedding areas.
  2. Subscription Rates 2016-2017. The Committee agreed to introduce on a one year trial basis, a tennis annual affiliated rate of £44 to all GHC, EELCG and Thistle club members.
  1. ESC 64th Junior Open Golf Tournament: April 4th, 5th and 6th. The Committee reviewed the Conditions of Tournament, and agreed as follows:
  2. The concept of each section being played on the basis of two medal rounds being played on the Monday and Tuesday with the two players with the best two total scores in each section playing a final matchplay round on the Wednesday to determine the overall section winner.
  3. Sections (c) and (f), boys and girls under 14. The two medal rounds are to be played over the Baird Course, 9 holes, and the final to be played matchplay over the 18 hole course.
  1. Five year capital and revenue expenditure programme. The Committee agreed the following items and budgets for 2016:
  2. Ecobunker: £2380.
  3. Remove former Practice Range sheds: £2900
  4. Bowling Green timber fence “thorough” repaint: £2533
  5. Bowling Green storage shed. Treatment to match clubroom: £378
  6. Baird Course watering system: TBA
  7. Baird Course, 3rd and 6th hole bunkers. 5th and 6th tees. Practice range grass tee: £980
  8. External Maintenance for Bowling Clubroom: Alistair Graham advises wash down only is all that is required at this time.
  9. Replace practice range worn driving mats: £750.
  10. Replace/repair range ball collecting machine: GC to obtain quote asp. Go ahead if less than £2500.
  11. Car park gravel levelled and tidied. TM to obtain quote via Gordon Fleming
  12. Standardise and paint signage. GC to define and obtain quote.
  13. Fit wooden rail to Pavilion outside steps: £452
  14. Maintenance to car park wooden fencing: £682.
  15. Total identifiable costs: £13555 plus VAT
  1. GHC Practice ground rent review. The rate has been at £800 pa since 2011, and the Committee agreed to increase to £840 pa with the next review to be in three years time.

  1. Gavin Cook retainer. The Committee agreed revised terms, and directed that the retainer review should be an annual event.
