MinuteforCommittee Meeting, October 25, 2011

ATTENDED:

Susan Ward, Cristina Ertze, Juliette Paton, Caroline Sommerville, Lesleyann Smith, Kirsty Robertson, Louise Cordiner.

AGENDA ITEMS COVERED:

1.Final arrangements were made for the Halloween Party. At the time of the meeting 117 tickets had been sold. This was enough to cover costs of merchandise. Excess items not used will be returned to the craft supplier. At future fundraising events it was agreed we will use solely suppliers to whom unused items can be returned. The committee agreed on balancing the event between paid-for and free activities to ensure those attending enjoyed themselves, but also that funds were raised for the group. Because of a shortage of volunteers signed up for stalls, the committee agreed to ask people to give half an hour of their time when attending the event, if they were able.

2.Pamper night: an evening of pampering for mums/carers will be postponed until January. This was deemed a better month to hold for such an event because the run-up to Christmas and other fundraising and social events (both for this group and others in Biggar) makes scheduling difficult.

3.Members will be able to buy copies of pictures of their children doing the sponsoredtoddler. These are on display at the toddlers’ noticeboard and copies can be made for a donation.

4.BBTP has been approached by a town survey partnership that would like to canvass our members about living in the area. The surveyors are keen to hear the views of parents with young children. Members will be asked to participate in a questionnaire. Details to follow.

  1. Moira has requested a toy sort to free space in the cupboard. Unused, dated and worn-out toys will be cleared out. Members will be invited to help with this evening event, which is on November 15. New equipment suggested by Moira includes baby gyms and another ride-in car. While new equipment is being bought for the groups, any donations of such items would be welcome.
  1. Other dates for the diary: Bag to School collection takes place on Tuesday, November 8 at St Mary’s Hall. Christmas parties: the Toddlers’ party will be on Thursday, December 15, and Playgroup’s on Friday December 16. Parents’ night out to be arranged.
  1. Extra chairs and tables will be bought with discount via the SPPA group, and will carry labels to let members see how fundraising has been put to use.
  1. A parents’ event to raise funds could focus on a concert by a local musician whose event at Biggar Little Festival was a sell-out. Susan has already spoken with him and the owner of the venue and plans will follow.
  1. Cristina has talked with the organiser of Biggar Youth Project about how our groups could work together. Since both benefit children in the community, mutual support could be helpful and how we could do this will be considered.
  1. Cristina and Dawn Turner are working out the best format for BBTP on Facebook, as theexistence of the Profile and Page is confusing to some members.
  1. Next committee meeting: November 29, 2011 at 8pm in the Elphinstone Hotel. All welcome to attend.
