TITLE: Office Manager
MINIMUM QUALIFICATIONS:1. High School Diploma
2. Clerical experience/training
3. Proficient in Microsoft Office programs (Word, Excel, Publisher).
4. Exceptional interpersonal skills.
5. Accounting experience/training
6. K-12 school experience desired
7. Experience with Skyward school management software or willingness to be trained.
IMMEDIATE SUPERVISOR:School Principal
PURPOSE:Provide a well-organized and efficient school office. Maintain effective operation of the office to support students, staff and families.
SALARY/COMPENSATION:Placement on the administrative classified salary schedule. Benefits.
TERMS OF EMPLOYMENT:Established by Administrative Classified Bargaining Agreement. 8 hours per day with 30 minute unpaid lunch period. Additional compensated time may be required.
DUTIES:
- Manage school office functions under administrative direction.
- Receive and screen phone calls; make referrals as appropriate; respond to inquiries.
- Receive and screen incoming correspondence.
- Complete general school correspondence.
- Complete and disseminate weekly bulletin.
- Complete and disseminate monthly newsletter.
- Manage and post information on school electronic reader board and school website.
- Manage enrollment information.
- Manage daily financial information of the school lunch program; process free and reduced lunch program applications and manage daily and yearly food service reports.
- Function as School Registrar - Manage records of student attendance, grading reports, transcripts and student demographics. This includes generating monthly enrollment reports, special education reports, homeless information, etc. for Washington OSPI.
- Dispense medication to students and maintain records.
- Assist in preparing and distributing staff and student handbooks.
- Creation and management of student files including correspondence with other schools.
- Arrange for substitutes for certified staff; manage substitute files.
- Manage and supervise financial operations for Associated Student Body; provide financial training for ASB representatives (vice president, treasurer and assistant treasurer).
- Manage daily monies for district and ASB.
- Make daily trips to bank and post office.
- Manage and reconciliation of all checking accounts (InvestED, ASB, petty cash)
- Oversees sports packet information, records and ASB cards; provide cash boxes for ASB events at the school.
- Manage InvestED account.
- Assist graduation ceremony organizer with ordering diplomas, certificates, sashes, medals, etc.
- Prepare and mail registration packets for students (returning and new students).
- Manage EDS roles for staff.
- Manage driver’s education program.
- Manage student rosters and FTE information.
- Other duties as assigned.
