Entering the Partnership

The member agency must apply in writing to the Executive Officer for both Level 1 and Level 2 membership. All applicants must be providing services within the SC PCP catchment (Bass Coast Shire and South Gippsland Shires).

South Coast PCP has two levels of membership

Level 1: Full members

  • Must be a CEO or Senior Manager within their organisation
  • Be an active member of the partnership and have demonstrated alignment to the South Coast PCP Strategic Plan
  • Agree to sign the Partnership Agreement
  • May or may not be signatory to the Funding and Service Agreement
  • Full voting rights
  • Participation in consultative and planning processes
  • Attend South Coast PCP Steering Group Meetings (3 of the 4 meetings must be attended to maintain Level 1 membership)

Level 2: Associate members

  • Receipt of all South Coast PCP communications
  • Attendance at South Coast PCP working group/alliance/advisory group meetings
  • Participation in consultative and planning processes in relation to South Coast PCP Strategic Plan and other activities

Applications for Level 1 Membership

a)Level 1 membership applications will be noted on the agenda of the next Steering Group meeting or sent to the Steering Group via email notification with SCPCP Email Endorsement Template (see Steering Group TOR) if the meeting is more than 4 weeks away from the date of application.

b)Once an agreement has been reached regarding acceptance or rejection of a Level 1 membership application, the Executive Officer must, as soon as practicable:

  • Notify the applicant in writing of the approval or rejection of membership; and
  • If approved enter the applicant’s name in the register of Members.

c)Once Level 1 membership is approved a Member is entitled to exercise the rights of membership from the date they are formally notified of approval of their application.

d)The partnering Agreement must be signed by the CEO of the applicant’s organisation.

e)A brief orientation conducted with the new member.

Applications for Level 2 Membership

a)Level 2 Membership applications are at the discretion of the Executive Officer, who will send out a membership application form as appropriate and add new Level 2 members to the membership register.

b)The Executive Officer will provide new level 2 members with the South Coast PCP Membership Fact Sheet.

c)New level 2 members will be added to next Steering Group meeting agenda

d)Level 2 members do not have to sign the Partnering Agreement.

e)A brief orientation conducted with the new member.

Register of Members

a)The Executive Officer must keep and maintain a register of Members containing:

  • The name and address of each Member organisation;
  • The name and contact details of the organisations representative; and
  • The date on which each organisation’s name was entered in the register.

b)The register is available to all Member agencies upon request.

Ceasing Membership

a) A member of the South Coast PCP may resign from the partnership by giving notice in writing to the Executive Officer of the intention to resign.

b) The resigning member will cease to be a member when the written notice is tabled at the next Steering Group meeting or tabled via Email Endorsement Template.

c) The Executive Officer will then record in the register of members the date of the Steering Group meeting in which the member ceased to be a member
