Meeting minutes for Kittitas County Roping Club

Meeting was called to order March 1, 2017 at 7:37pm at the Kittitas County PUD by Julie Blackmore. With the President and Vice-President absent, by laws require a chair to be appointment to conduct the meeting. After discussion it was decided Julie Blackmore would conduct the meeting.

Members Present:

February Meeting Minutes:

Minutes were read and approved with one correction. Julie’s motion for the club to retain 20% of moneys collected was changed from the 2017 Calcutta to all future Calcutta’s.

Treasurer’s Report:

Checking account balance $8,757.56. All bills are paid.

CD account balance $10,099.94

  • Julie reported that our CD matures April 30, 2017. Be prepared at the April meeting to discuss options for this CD.

Julie gave an update on the income and costs for the awards and banquet.

  • Income – $2700 sponsors, $952 dinner tickets, $1220 live auction, $1153 silent auction.
  • After bills were paid our loss was $2544.80.

New Business:

Christina and Renee reported on the upcoming fundraiser

  • Both WBRA and WPRA approved the event
  • Christina has spoken with Diane Tasker in hopes her 4-H group will handle the concession stand again this year
  • Committee has offered the arena to the steer tripping group to hold their own roping once ours is completed. The understanding is our club will charge a minimal fee but not be responsible for the actual event. Christina will check on any insurance issues
  • Sponsor letters have been mailed as well as some entries. Several sponsors have already been secured
  • Calves are secured with Kass being the contractor
  • There will be no match roping
  • Waiting for confirmation from Marty Stingley as our photographer
  • Calves will be chute ran

Julie and Sam will be gone for the March points roping. Marcie will be there to take entries and set up, but will be leaving early. We will need volunteers to take times and possibly help with the draw.

Thank you cards for sponsoring the banquet were signed by members and will be mailed out.

To be eligible for eliminations your membership dues must be paid by the April meeting.

Motion by Jack – the club will have two $250 scholarships for 2017. Motion Passed

  • Christina volunteered to handle the applications

Motion by Tom - the club donate $250 to ERHOF in the names of Bertha Morrison, Janice Anderson, Roy Doaks and Alan MacRae. Motion Passed

Discussion –

  1. Both Bertha and Janice’s obituaries mentioned ERHOF
  2. $250 was a good contribution for our club not knowing what our fundraiser will bring this year and losing money on the banquet.

For the club to meet at the PUD a member must pick up the key by 4:00pm the same day. No one volunteer to permanently pick it up so at each meeting someone will be nominated. Justin volunteered to pick the key up for April’s meeting

President Samantha Robbins turned in her resignation letter which Julie read.

Discussion –

  • Board will need to speak with Jeromy about his willingness to step into the Presidency
  • A future option may be co-presidents
  • If anyone would like a position on the board, please let us know
