Meeteetse – After School Recreation Building

Meeting called to order @ 6:05 pm by Kelsey Roop

Secretary’s Report:

Two corrections were received via e-mail. Tim French not Larry French should be named with the commissioners and Randal’s South Pit BBQ could do a simple plate for $9.00 for achievement night not the Oasis. Both changes are agreed upon, the minutes have been amended to reflect the corrections.

All members approved.

Treasure’s Report: Balance = $10,875.15.

Bob moved to approve the report as read.

Old Business

4-H Week October 6-12th. Events/displays and activities to support 4-H week.

  • National Youth Science Day Experiment
  • GPS – Geo caching. GIS Project
  • Powell Chamber. We would like to keep some information on the board in Powell. Lets add announcements to include the 100th year of 4-H.
  • Marla will talk with Powell Office Supply about decorating their windows.
  • Marla is going to also talk with Pepsi about some banners to display over the roads in Powell and Cody. (3) Signs if we can. Julie will check with the City of Powell about getting them up in Powell, Angie will check in Meeteetse.
  • Kelsey would like to have a couple of 4H members cut radio ads as well. Cassidy Minor and Katie Couture were nominated for this task. Kelsey will write the ads and give them to Paulette Bagnell at the station to contact the kids for recording times.
  • Harvest Expo. Is Sept. 28th in Powell. 4H groups as well as the council are welcome to set up informational tables at the expo. Julie is going to check with Jolene Sweet regarding the Lonestar League maybe setting up a booth.

State Fair

  • The trailer worked very well for hauling entries
  • 30 kids attended.
  • The cost for each of the Aguire’s sponsored ended up being about $85.00 each.

Inventory

No news to report. We set a deadline for all inventories to be done as of the 1st of November. Angie is the items in Meeteetse and bringing them to Cody for inventory. Kelsey is waiting to hear from Matt with the shooting sports. Starla Craig will do the shooting sports inventory for Powell/Cody.

4-H Carnival

Julie reported that they are shooting for a Jan, Feb. or March date. We would like to get a representative from each club to attend a committee meeting on Oct. 8th to further discuss the event. The location will be in Powell possibly at the Parkside School. Ideas for activities are a petting zoo, bounce houses and face painting.

Portable Scale

Alan at Cody Feed is pricing this out for us. The price may increase from the projected $1000.00 up ward to $1200.00-$1500.00. We would like the design to be more of a “shoot” style load.

Julie made a motion to increase the funds available for this purchase to $1500.00.

Achievement Night November 2nd @ the Meeteetse School

  • Randal’s Southern Pit BBQ will cater for $9.00 per plate.
  • Kelsey will supply the plates and drinks
  • May have guest bring a dessert if they want

  • RSVP will go out to members, we will notify Randal’s with a number for attendance. Estimated 100-200 people

New Business

Funds Requests

* Kim Barhaug requests reimbursements for “Showcase Showdown”, “State Shoot” and State Fair.

Historically the council has reimbursed up to $300.00 for expenses to attend the “Showcase Showdown” in the past but has historically NOT given reimbursements for the “State Shoot” or “State Fair” specifically fuel expenses. Fuel costs are difficult to consider and could open a door that would be hard to close regarding travel expenses.

Julie made a motion to reimburse the standard $300.00 for the “Showcase Showdown”.

Scholarships

* Kelsey extended the application deadline to Sept. 16th and finally got some applications. The scholarship is for $500.00 and will be awarded at Achievement Night Nev. 2nd.

Award Nominations

  • Nomination forms need sent out soon

New Members Meet and Greet

  • This will be a spring event. Kelsey will keep us up to date on this as needed.

Haunted House

  • ChristiGreahm is doing this again this year for 4H. A location is not yet known. We would like to continue supporting her.
  • The “Fair” may be doing one as well. This is separate from Christy’s.

New Council Members

  • Vacant positions are: Vice President, Treasure and Powell Member.

Marla, Julie and Bob will be moving off as of October 1st . Julie is willing to run again if needed and/or assist a new member.

Suggestions for new members are: Rachel Olsen with Mini Horses. Kelsey would like to get nominations out by the end of the month. Please contact her with any suggestions.

Awards:

  • Portfolio awards will be cash again this year.
  • Outstanding Members & Leaders: The bags worked well last year
  • Kelsey handled all other awards wonderfully and we trust in her judgment.

Lap Top

Julie had until now been able to keep the Treasures information on hand with her in her position as the 4H Secretary in the Powell office. She will be moving on to other career opportunities therefor not able to have the computer access to track information with. A laptop computer would work well for the tracking and portability from one officer to another well.

Heather made a motion to purchase a laptop computer up to $500.00 for the 4H Council’s use.

Portfolios

Due Monday Sept. 16th. Need judges to help.

Livestock Checks

The “Fair Board” handles all livestock checks and premiums. Kelsey has been getting phone calls regarding payouts that have not come. Please refer everyone to the Fair Board.

State Leader

  • Riverton - September 29th 1-4 pm., planning meeting. We should have representation there. Possibly Kim could attend as she is our President.

Next meeting: Thursday October 24th @ 6:00 in Cody.
