MBSLA Coach and Team Manager Web Site Procedures

This document is intended for use by coaches and team managers of member teams. The web site address is

SECTION 1

NOTE – MEMBER PROFILES AND THE CODE OF CONDUCT REGISTRATION CAN ONLY BE ACCESSED USING YOUR PRIVATE PASSWORD. DO NOT USE THE SITE ACCESS PASSWORD YOU WERE GIVE BY THE LEAGUE.

The following two items require you to use your email address and personal password.When asked enter your email address and your own personal password. If you have forgotten your password, follow the directions on the screen to reset your password.

EDITING YOUR MEMBER PROFILE

The member profile contains personal contact information. It is the responsibility of each coach or team manager to maintain their own contact information. Phone and email contact information is displayed on the Team pages for your team.

To review and update your profile go to the home page and click on EDIT MY ACCOUNT. Your records are stored under your email address.

Once you have successfully entered your email address and password, your profile information will be displayed. Edit any changes and hit submit. If you change your email address, the next time you enter the EDIT MAY ACCOUNT section, you will need to use the new email. You can also change your password here.

CODE OF CONDUCT

Every coach is required by the league to complete a code of conduct agreement. The agreement is online.

To complete a code of conduct, from the HOME page click on REGISTER ONLINE. Select the code of conduct link and you will be asked to enter your email address and personal password. When your see your name, click on the small REGISTER button. The agreement form will appear. Read the agreement by scrolling down the text box and at the bottom you will need need to check the I AGREE check box. Click submit. A confirmation page will be displayed, from which you can print a copy. A copy of your agreement is stored online and also emailed to the league.

SECTION 2

ALL OF THE FOLLOWING ITEMS ARE ACCESSED USING THE SITE PASSWORD GIVEN TO YOU BY THE LEAGUE. DO NOT USE YOUR PERSONAL PASSWORD FOR THESE ITEMS.

LOGGING IN TO THE PRIVATE SITE AREAS

To access any of the following items, go to the web site and click on the ADMIN tab at the top. Enter your real full name and the site password you were given. After you are logged in, follow the directions below to access the part you need. Note, the system may time out if left idle. If that happens, repeat the log in from the ADMIN page again and proceed.

KEY TERMS AND SITE STANDARDS

To make the site useful to everyone the league has adopted certain standards for data. Key standards that you will need to follow are as follows. Although the site is very flexible and CAN use almost any data, it is important to follow these standards so that the league personnel will not have to do a lot of extra work to correct non standard data.

ADDING COACHES AND TEAM MANAGERS

Any coach or team manager can add or edit member records to update the site records.

KEY DATA STANDARDS:

Coaches – coaches must either be entered as coach or assistant coach. Do not use or add any other title. “coach” refers to the head coach for the team. “Asst coach” refers to any non head coach.

Team Manager – All non coach adults must be listed as Team Manager. Do not select or add any other title

Any adult with these titles will be shown on your team page. Other titles are ignored.

To add a coach or team manager from the ADMIN tab, click on MEMBERS. First, look up the name using the search box to make sure they are not already in the system. (See search for members below). If they are not there, click ADD. A new member form will appear. Enter the following required data: (additional data is optional)

First Name

Last Name

Type – select N/A

Phone Numbers

Email address

Season – Spring 2005

Team – select from the drop down box the team. Teams are listed by league and conference. (Varsity teams are listed under their conference and have just the team name without a suffix. JV and Provisional teams are listed under the JV/Provisional league and have a suffix of JV or Prov, Frosh Soph Teams are listed under the Frosh-Soph league and have a suffix of FS, and Middle School teams are listed under the Middle School league and have a suffix of MS.)

Position – Select “coach” for head coach, “asst coach” for all non head coaches, or “Team Manager” for non coaching personnel. Use only these three!

If the person will serve on more than one team, go to the next line and add the team, and position for that team.

Hit submit and they are entered. You will need to inform the person of the Site password and ask them to check the documents vault under the MBSLA tab to download this document for instructions.

CHANGING COACHES AND TEAM MANAGERS

To edit a coach or team manager record, from the ADMIN tab, click on MEMBERS. First, look up the name using the search box to make sure they are already in the system. If you find them, click the name and an edit screen will appear. Edit the form and hit submit to make any changes. Follow the data guidelines from the ADD COACHES AND TEAM MANAGERS section above. (See search for members below too).

NOTE: PLEASE ONLY MAKE CHANGES TO NAMES WITHIN YOUR ORGANIZATION.

UPDATING FIELD LOCATIONS AND DIRECTIONS

Every team is required to maintain the field directions for their home games. To update your field directions from the ADMIN page click on FACILITIES. Scroll down the list to find the field you use. DO NOT CHANGE THE FACILITY NAME OR ALIAS AS THIS IS USED BY THE SYSTEM TO LINK GAMES TO FIELDS! Enter any other field information and when done, hit submit. Your field directions are now updated.

ROSTERS – ADDING AND EDITING PLAYERS (VARSITY PLAYERS ONLY)

For the first time this year, rosters for VARSITY players only will be entered online. This will allow easier processing by the league and also enable the use of online statistics. TO MAINTAIN PRIVACY ONLY ENTER THE REQUIRED INFORMATION. DO NOT ADD ANY OTHER INFORMATION TO THE SITE.

To add players to the site from the ADMIN tab, click on MEMBERS. First, look up the name using the search box to make sure they are not already in the system. (See search for members below). If they are not there, click ADD. A new member form will appear. Enter the following required data only:

First Name

Last Name

Type – PLAYER

Grade - (note: the system will update all player grades next year to minimize future data entry)

Notes - Type your team name. Entering this will help the league find roster mistakes that could occur on data entry, especially for assigning player with the same name.

Season – Spring 2005

Team – select from the drop down box the team. Teams are listed by league and conference. (Varsity teams are listed under their conference and have just the team name without a suffix. JV and Provisional teams are listed under the JV/Provisional league and have a suffix of JV or Prov, Frosh Soph Teams are listed under the Frosh-Soph league and have a suffix of FS, and Middle School teams are listed under the Middle School league and have a suffix of MS.)

Position – Select from the following only for the primary position only. Do not add positions! ATTACK, MID, DEF, GOALIE, LSM (for long stick middie)

Number: if you know the jersey number, enter it, but it is not a required field.

To update a player record from the ADMIN tab, click on MEMBERS. First, look up the name using the search box to make sure they are already in the system. If you find them, click the name and an edit screen will appear. Edit the form and hit submit to make any changes. Follow the data guidelines for players above.

GAME REPORTING

Game reports are required from all Varsity head coaches within 12 hours after each game. Game reports are now online. To submit a game report go to the HOME page and click GAME REPORT. Enter the Site password the league gave you. A from will open. Enter all of the data and hit submit. Copies of the game report will be stored online and emailed to the league and to Laxpower for posting. The league will post the scores each day. Laxpower will also update the scores from this report. You do not need to report the score to Laxpower outside of this method. This process helps the league to keep the scores on both systems in synch. The only exception is if you play games against non MBSLA teams. In those cases you will need to report the scores directly to Laxpower.

The Game Report has a section for evaluating officials. These evaluations help the league and the officials to evaluate performance of officials throughout the season. There is also a section for reporting to the league game issues.

SEARCHING, LISTING OR EMAILING COACHES AND TEAM MANAGERS

The web site is very useful for searching and emailing. To use the search function from the ADMIN page click on MEMBERS. A search page will appear. You can search for Coaches, Team Managers or players entering a value in a box or selecting a position or team from the right side list boxes. At the top of the search page is REPORT TYPE. By selecting different report types you can list, email, or download your search results. If you choose email, the system will bring up an email text box for you to type your message. Enter your email address in the FROM box, type your message and hit submit to send. Download are in CSV format, which is a text format that can be read by Excel.

ACCESSING THE MBSLA TAB FOR LEAGUE INFO AND DOCUMENTS

The league places any private league information on the MBSLA tab located at the top of the site. To access the information on this tab, enter the Site password given to you by the league. On this tab, you will find documents and messages that are for the league members only. Also this is where the officials telephone directory will be placed.

ON-LINE STATISTICS – VARSITY TEAMS ONLY

In 2005, you will be able to keep game statistics on line. The league will now require Varsity teams to post a required set of game statistics for each game. Additional statistics field may also be available to those that want to track more data online.

Once the players are in and assigned to teams, statistics are entered for each game played. To enter stats, a coach will log in using the Site password given to them by the league and then navigate to their team page, then click RESULTS. A list of games played and the results will appear looking something like this.

To enter stats, click the Sigma sign for the game and a stats recording page will appear.

Here the coach can enter the field player and goalie stats, hit submit. All of the stats entered will now be viewable on the STATISTICS page for each team.

The web site company is working on a stats roll up for the leagues, but that is not available now and we do not know the timeline.

To view the statistics for a team, click the statistics page off of the team page.

To change the statistics for a game, repeat the steps above.

If a player does not show in the list when entering statistics, it means that they are not correctly entered in the system. Refer to ROSTERS – ADDING AND EDITING PLAYERS above to add or correct a player. If a player is in the system, it may be that they are not assigned to the correct team.
