Sydney Uni Sport & Fitness’s object is to encourage, foster, promote, develop, extend and govern amateur sport members of the University of Sydney and greater community and to promote the health and well being of these stakeholders through the provision of sport and recreational activities and facilities.

General Overview

The Swim School Administrator, Instructor is the first point of contact for the majority of people having relations with the SydneyUniSport & FitnessSwimSchool and Learn to Swim program. It is essential that you present the appropriate professional and courteous image, demeanour and attitude that best reflects everything that is Sydney Uni Sport & Fitness. A friendly and helpful person does much to give a good first impression of SUSF. The Swim School Administrator, Instructor is responsible for promotion and marketing of the SwimSchool and Learn to Swim program as well as development of Junior swim squads. The role is required to be performed within 38 hours per week, Monday to Saturday The role also requires a high level of face to face customer service and frontline POS servicing.

This position will deliver a wide range of administrative support to the SwimSchool and Learn to Swim program.

Duties

1Administration

.1Co –ordinate swim programs on membership relationship management system (MRM.plus2)

.2Customer Service and Public Relations

.3Market & Promote schools program

.4Follow up Swim Program enquires

.5Make and conduct swim assessments

2.1Teach Learn to Swim as required

2.2Coach squads as required

2.3Compile class lists & Assessment Sheets

2.4Produce quarterly newsletters

2.5Produce quarterly achievement certificates

2.6Assist Program Coordinator with staffing swim program

2.7Promote Swim Club to all swim school members

2.8To set up and pack away swim school equipment at beginning and end of each day

2.9Supervise Swim School Instructor/coaches as required

2.10Conduct staff development sessions as required

2.11Assist Program Manager with swim school programs and contents.

4.1Encourage swim school members to become involved with Swim Club and race nights.

4.2Encourage members to participate in regular swimming competitions.

5.Club Memberships

5.1Ensure that club memberships are recorded on the SUSF MRM.plus2 database, are maintained and kept as up to date as possible.

5.2Calculate, invoice and process Swim club for memberships.

5.3Provide information to members and club officials in regard to mailing lists, etc

6.Sports Camps

6.1Assist with administration of sports camps

6.2 Coach sports camps as required

6.3 Staff sports camps as required

7.General

7.1Follow-up and collection of outstanding customer payments and carrying in relation to Swim School and Learn to Swim.

7.2Reception and administrative relief and cover.

7.3Answering incoming calls and assisting callers with swim school enquiries and other general enquiries in relation to the University Sports & Aquatic Centre.

7.4Answer all counter enquiries, assisting with membership, club enquiries, receiving monies for membership, miscellaneous receipts whilst servicing and attending to the reception and POS at the University Sports & Aquatic Centre.

7.5General Administrative support and other tasks as required and directed by the Swim School Program Coordinator and Head Coach.

7.6 All other tasks, duties and special projects as directed by the Swim School Head Coach and Program Coordinator.

Selection Criteria

  1. Recognised qualification and experience in Learn to Swim and SwimSchool instruction.
  2. Recognised qualification and experience in customer serviceor related.
  3. Demonstrated organisational skills and ability to dealwith multiple projects and priorities.
  4. Demonstrated high level of interpersonal skills and written and oral communication skills.
  5. Demonstrated knowledge and experience in handling cash and general administrative tasks.

Qualifications & Experience

Essential

  • Austswim Certificate Holder (current)
  • Swimming Australia Assistant Coach (current)
  • Swim School Instructor experience (2+ years)
  • Attention to detail and thoroughness.
  • Strong Communication & Interpersonal Skills
  • Organisational & Time management skills
  • Computer Skills (Newsletters, Spreadsheets)

Desirable

  • Professional Sport industry experience (1+ years)
  • Senior First Aid – workplace safety

Accountability

  • This position reports to and is accountable to the Sydney Uni Sport & Fitness Swim School Head Coach and Program Coordinator.

Conditions of Employment

  • The position is in accordance with the terms and conditions of the Employment Agreement and relevant industrial award.
  • The successful applicant will be required to complete a 100 point Police Records Check and Working with Children Check as per NSW Government Legislation.
  • The position has a 12 week probationary period
  • Availability to work the agreed days plus flexible/extended hours as required to meet the demands of the position and commensurate to the level of the position.
  • Standard statutory benefits apply such as 9% Superannuation Guarantee, Sick Leave and Annual Leave (pro rata)
  • An educational and development allowance is also applicable for pre-approved relevant industry training.
