Bolton Council has very clear guidelines on sending out personal sensitive data via post. As Nurseries will be sending personal sensitive data to Bolton Council they MUST also follow Bolton Council’s process to ensure safety of the information being sent and to minimise the security risks for the information.
The Nursery must follow the below process when returning completed forms:
- Double envelope the information that is being sent. If the outer envelope is damaged, the inner envelope will ensure that information is not lost.
- Mark as confidential with a return address. This should be done on the outer envelope.
- The return address on the outer envelope should be a generic return address for the Nursery.
- If an envelope is returned to the Nursery, the post person needs to direct the letter to the relevant member of staff. Once they open the outer envelope the inner envelope should have the details of the person the returned envelope should go to. The post person need not know the contents of the envelope.
- Ensure the address, contact details and contents of the envelope are checked by a 2nd member of staff.
