JOB TITLEFinance Assistant
REPORTS TO:Finance Manager
Basic Function:
To manage the purchase ledger and bank transactions, working as part of the Financeteam to provide support to all departments.
Responsibilities:
- Purchase LedgerandExpenses:
- Processing purchase invoices, verifying authorisation for payment with colleagues and dealing with suppliers and general enquiries
- Processing expense claims, verifying authorisation for payment with colleagues, ensuring all supporting documentation is attached and dealing with general enquiries
- Coding and reviewing of invoices to ensure accuracy and analytical codes are assigned as necessary
- Managing and posting supplier payments
- Reconciling supplier statements as required
- Reconciling Creditors Ledger to Nominal Ledger
- Preparing supplier reports – e.g., turnover, payment history
- Company credit cards:
- Verifying and reconciling schedules and ensuring supporting documentation is accurate and codedcorrectly
- Banking:
- Responsible for banking; ensuring receipts are banked within two working days
- Ensuring support for banking is matched to supporting documents
- Petty Cash:
- Produce and reconcile weekly petty cash journals
- Covering and supportingthe Finance Administrator with petty cash and ordering currency for wish funds
- Donations-in-kind (DIK):
- Maintaining records for DIK
- Ensuring all documentation is correct and coded to the correct analytical codes if applicable
- Income:
- Preparing and processing the daily income journals for credit/debit card
- Ensuring card income is allocated to correct nominal and analytical codes as appropriate
- Providing regular and ad-hoc reports
- Bank Accounts:
- Post Sterling, Euro & US$ bank account journals
- Reconciling bank accounts
- Keeping accurate and precise filing systems
- Acting as first line of cover for Finance Administrator
- Providing essential cover of colleagues’ roles during holidays and periods of sickness
- Any other duties as required
- Supporting Make-A-Wish in its goals at all times
