Job Context / Lewis-Manning Hospice, set in its own grounds in Lilliput, is a centre offering specialist care to local people and their carers living with cancer and other life-limiting illnesses. The hospice is expanding during early 2014 to include an In-Patient Unit.
Job Purpose / To provide a clerical and admin service for the In-Patient Unit. The post holder is the first point of telephone contact and responsible for providing an efficient and helpful service. The post holder will work in the Nurses’ Station at Lewis-Manning Hospice In-Patient Unit

Main Duties and responsibilities

·  Monitoring and maintaining supplies of patient notes sets and other patient documentation (charts, record sheets) kept in the Nurses’ Station and In-Patient Unit office. Photocopying and compiling additional supplies of patient notes sets, as required

·  Sort, collate and file and scan all patient information, when signed, in the correct order.

·  Arrange patient transport with ambulance service for admissions, investigations, treatments, transfers and discharges. Occasionally arrange transport through the volunteer department

·  Request and return hospital notes, as required by medical and nursing staff, liaising with medical records departments, following up when the location of records is not straightforward

·  Maintain records of actions taken

·  Answer the telephone in the Nurses’ Station and In-Patient Unit office to ensure effective communication of patient information. Calls will be from a wide range of people including relatives, other medical professionals and funeral directors. Confidentiality must be maintained at all times and timely, accurate communication of information is crucial

·  Audio and copy typing for the In-Patient Team Leader and clinical staff in the In-Patient Unit, e.g. patient letters, appointments, statistical requirements, patient information

·  Compile and maintain up-to-date information on medical and Allied Health Professionals’ contact telephone numbers for use in the Nurses’ Station

·  Monitor and maintain supplies of Patient Information leaflets, compiling additional packs, as necessary

·  Inform all relevant Health Care Professional and medical staff following certification of death and ensure completion of Notification of Death form for the CQC

·  Complete routine filing of all patient records

·  Responsibility for maintaining the In-Patient bed management patient database to ensure the correct recording of bed occupancy for the In-Patient Unit

·  Responsibility for ensuring all the demographic details are entered on the patient database for all patients in the In-Patient Unit

·  Production of discharge and death fax pro-formas for completion by doctors and ensuring they are faxed as soon as possible

·  Recording details of MRSA and pressure sore status for all admissions, discharges and deaths of all patients in the In-Patient Unit for the CQC

·  Undertake other admin and support tasks as required by the In-Patient Unit Team Leader or Nurse-in-charge

·  Be responsible for distribution completion and collection of patients’ menus assisting patients where required

·  Deal with ordering of In-Patient Unit stationery

·  Photocopy as requested and required

·  Assist with patients’ non-medical needs

NB: All staff are required to participate in fire lectures and to know what action to take in the event of fire

All staff are required to attend in-service training

The post holder will be involved in the non-clinical care of the dying/deceased patient and their families and carers. This will encompass the physical, psychological and spiritual aspects of the dying patients’ care and when the patient has actually died.

§  Use all work equipment (medical devices, dangerous substances, machinery, transport, means of production, and safety equipment) in accordance with training and instructions provided

§  Not use such items or equipment unless they have received appropriate information and training
