Purpose of the post: The Chartered Institute of Ecology and Environmental Management is the professional membership body for ecologists and environmental managers using their knowledge and skills to benefit nature. This post will support the Institute’s work by providing an efficient and effective administrative support service across all areas of the Institute’s activities.

Key Result Areas:

  1. Deal effectively with incoming and outgoing post.
  2. Deal promptly and effectively with all routine enquiries whether by e-mail, telephone or post.
  3. Deal effectively with conference, training and event bookings.
  4. Attend and take minutes of meetings as required, including external meetings when necessary.
  5. Assist other departments with a range of administrative tasks including, but not restricted to, finance administration, professional development activities, membership administration, communications and marketing activities.
  6. Organise the booking of meeting rooms and catering for meetings as required.
  7. Use the CIEEM database (CRM) to create, update and manage accurate records of contacts.
  8. Contribute to the effective operation of the CIEEM database (CRM) by reporting problems and helping to identify more efficient ways of working.
  9. Manage the online Professional Directory, helping members wishing to update their details or purchase enhanced listings.
  10. Provide ‘backup’ support to the Finance and Administration Officer and other administrative staff as required.
  11. Support the Office and Finance Manager in the efficient management of the office as a positive working environment.

Other Duties

  1. Comply with internal procedures and policies including health and safety, financial procedures and performance management.
  2. Undertake any duties of a similar nature as required.

Education/qualifications
GCSE English (or equivalent) / 

Experience
A proven track record of efficient administration. / 
Experience of using a CRM system. / 
Experience of using Microsoft Dynamics. / 
Experience of using a range of IT software packages including the Microsoft Office suite. / 

Hours of Work: CIEEM operates a 37.5 hour working week (normally Monday to Friday 09:00 to 17:30) with a flexi time system for hours accrued in addition to this. Some travel throughout the UK and Ireland may be required from time to time.

Salary range: £17,527 - £21,989 per annum

Pension: CIEEM has a Defined Contribution Qualifying Workplace Pension Schemein which all qualifying employees are automatically enrolled after 3 months employment.CIEEM will contribute up to 10% of gross salary to the pension scheme dependent on the level of employee contribution.
