A discussion about the open house was started by Ryan DeJoe. Board members are to arrive for the open house at 9:00 am. A plan was put into place to have four stations. There will be a station for learn to skate, hockey, registration and equipment sales. Jennifer Kendall will run the learn to skate booth. Ryan DeJoe will run the hockey booth. Cindy Rospond will run the registration booth and Jim Brooks will run the equipment sales booth. All other board members will be present to assist when needed for all booths. All skates under size 4 will be kept for the organization to loan to incoming skaters. The organization also has equipment bags with everything but skates that can be rented for $75 a season. This includes a $50 deposit that will be refunded once equipment is returned.
Ryan DeJoe started a conversation about the fee schedule for the upcoming season. It was determined that to pay for ice each child would have to pay approximately $15 per session or $45 a week. The season is expected to last for 15 weeks at the TCC. The season will start October 22nd and end at the end of January. There was also a discussion about giving families with multiple children discounts. The fees associated with learn to play and stick and puck were also discussed.
Motion: Ryan DeJoe proposed a motion to have the season fees for the 1st child be $695, 2nd child in a family $650 and for the 3rd child or more $600 per child. Fees for full time goalies will be $400 with a limit of two per team. Learn to play fees will remain $120 for 8 sessions. Stick and puck will remain $10 and drop ins will be $20. There will be no refunds given regardless of ice schedule.

Treasurer Jim Brooks provided the August Treasure’s report and presented to the board a proposed annual budget for fiscal year 2014. He provided budgets with the proposed new rink as well as a budget without it.
Motion: Ryan DeJoe proposed a motion to accept the proposed annual budget without the new ice rink as presented by Jim Brooks.

Jennifer Kendall presented to the board information for the learn to skate program. All incoming participants in learn to skate will register with U.S. Figure Skating and pay the $12 registration fee. Coaches over 18 will be required to register with U.S Figure Skating and pay a $12 registration fee as well as a $20 fee for a background check. Learn to skate participants can sign up for sessions on Wednesdays, Sundays or both. Each session will cost $10 and the fees will be collected monthly. There will be a $15 fee for drop ins. Drop ins must be registered through U.S. Figure skating. The organization may provide skates to the participants for the session which will be collected at the conclusion of the session. If WYHA is not still registered with U.S. Figure skating the organization will have to pay a $50 fee to be reinstated.

Ryan DeJoe advised the board that the Tucson Parent magazine was working on their October issues and they wanted to know if the association would like to place a half page ad for $250. It is unknown what the results were from the ad posted in that magazine last year. Pat Wilde suggested the board pay $100 for a half page ad in the Copper Creek School Directory. He advised that this directory could reach potential new players and would be worth the small investment. The organization might get better gains for a smaller amount of money. It was also suggested that Bear Essential News and the newspaper on DM be contacted reference ad placement.

There was a brief discussion about fund raising. Dora Morales advised she had contacted California Pizza Kitchen and Red Robin about hosting a fund raiser. Each establishment said they were available and they just needed to know the date the organization wanted to hold it. It was suggested by Ryan DeJoe that the fund raisers start any weekend day prior to the start of the season.
Pat Wilde presented the board with fund raising letters that can be given to local businesses. These letters request that the business consider donating an hour worth of ice time to the organization. Each board member was given several copies of the letter.
The issue of obtaining additional equipment has been tabled for a future meeting.
