Job Description
Position: Events Coordinator

Part A
Position Overview:
Reporting to and collaborating with the Director of Events,you will be responsible for the planning and execution of all SSO fundraising events, helping with cultivating and securing event sponsorship, and supporting SSO’s third party fundraising.
The position also works with the team for the Institute for Advancement in Mental Health, in support of event logistics as required.
Part B
Key areas of responsibility:
- Supports in building an annual business plan for the Events & Sponsorship portfolio including; the preparation of detailed budgets and critical paths for all signature events, regional events, donor events and third party portfolio
- Carries out yearly event plan and coordinates all logistics for external facing events.
- Helps develop corporate sponsorship opportunities, sponsorship packages and partnerships for all SSO events
- Ensures stewardship of all sponsors and event supporters.
- Promotes consistent execution of event best practices.
- Ensures deadlines and responsibilities for all projects are clearly communicated to those responsible (staff or volunteers) and ensures timelines are met.
- Provides leadership and event support to regions provincially and nationally. This includes creation of event templates, facilitating the exchange of ideas and communication amongst regions, and identifying and implementing best practices.
- Supports regional and national staff and volunteer committees through consulting visits and regular conference calls
- Works with SSO’s Volunteer Coordinator in the engagement of volunteers for events and recognition of event volunteers and committees
- Manages online event registrations, donations and pledges.
- Processes expenses and event reports in a timely manner.
- Collaborates with Marketing and Communications for the preparation of a communication strategy for events and materials (e.g. posters, postcards, brochures, website content, social media etc.) maximizing public awareness and participation
- Develops and promotes all aspects of the third party event portfolio including; information packages, website content, event registration and receipting etc.
- Provides guidance to other corporate departments on event planning logistics.
- Participates as an active member of the fundraising team in support of the department operational and revenue goals
- Ensures all documentation of the portfolio is housed in Raisers Edge and in corporate records
- Additional duties as required.
Part C
Education and Experience:
- Related post-secondary training; degree or diploma.in fundraising/events management or equivalent.
- 3 years related events experience ideally in the not-for-profit sector.
- Experience managing pledge driven events.
- Proven success overseeing regional events (managing Fundraising Walks a definite asset).
- Experience working with volunteers and leading volunteer committees.
- Expertise using fundraising software. Experience using Raiser’s Edge, particularly the events module.
Relevant Skills and Attributes:
- Ability to communicate effectively both verbally and in writing with a wide variety
of audiences and stakeholders.
- Demonstrated ability to take initiative and ownership over tasks.
- Superior organizational skills.
- Attention to detail.
- Enthusiastic and self-motivated.
- Sensitivity to issues facing those affected by mental illness.
- Superior time management skills. Proven ability to manage multiple projects simultaneously.
- Ability to take initiative and work both independently and as a member of a team.
- Comfortable driving projects and working cross-functionally
- Creative and energetic.
- Proficiency in Microsoft Suite.
- Class G driver’s license with access to vehicle when required. Must be able to travel within the province of Ontario and work flexible hours when required.
