JOB TITLE:Castle Office Receptionist

LOCATION:Blair Castle, Blair Atholl,Pitlochry, Perthshire

RESPONSIBLE TO:Directly to the Operations Manager

MAIN PURPOSE:The role of the Castle Office Receptionist is to deliver efficient and effective administration for Blair Castle for both internal and external customers. The administration office is the first point of contact for telephone and email communications for visitors, suppliers and contractors.

As a five star visitor attraction and one of Scotland’s most visited paid for attraction, high levels of service are vital for the reputation of the Castle and the wider Estate.

MAIN DUTIES:

  • Communication
  • First point of contact for all castle questions and queries
  • Manage the high volume of calls by either answering queries or directing to the relevant person.
  • Responsible for taking coach bookings using estate Gamma software.
  • Preparation of weekly staffing cover sheets and diary.
  • Systems
  • Administration contact for IT contractor
  • Administration contact for telephone contractor
  • Database entry and control
  • Administration
  • Monitoring and maintaining stocks of stationery and uniforms
  • Agenda preparation and minute taking
  • General office work, including filing
  • Relief counting and checking of cash receipts, including entering careful records of transactions and cash banking
  • Support in the preparation, planning and execution of events and functions
  • To provide relief assistance for castle opening arrangements when needed

WORKING CONDITIONS:

Term of Appointment:This is a permanent role based on a five day week. During the open season some of this time needs to be worked at weekends.

Hours:This role will cover 35 hours a week, worked over 7 days rota with a one hour unpaid lunch break.

Pay Rates:Dependant on experience

Uniform:Uniform is provided for use during the open season. It need not be worn when the castle is closed to the public during the winter.

Holidays:26 days plus 4 statutory of 2 Christmas and 2 New Year, including statutory days which are required to be taken in a block over the Christmas/New Year period. Holidays must be taken to fit in with operational requirements and with the approval of the Operations Manager.
