Position Summary:

The overall purpose of your position is to maintain a social system which encourages and supports residents to function at a maximum level of independence, dignity, well being and comfort.

Under supervision of the Manager of Wellness nursing secretary is responsible for all clerical responsibilities of Medical suite.

Education and/or Experience:

Must possess, at a minimum a high school diploma plus 2 years of related health care experience and computer skills - must be well versed in Microsoft Word, Excel and Outlook. Must have ability to learn Weston specific software program, such as Vigilan, ADP and scheduler programs. Must have knowledge of medical terminology and excellent communication and follow-up skills.

Duties and Responsibilities:

  1. Answer allphone calls that come to extension2719Nursing Office, between 9am and 5pm; at the end of the day forward all the calls to the Medication Office phone.
  1. Create charts for the new residents, take pictures of residents, create face sheets, type service plans and PCA assignment sheets. Assign pendant to new resident and ensure operation of pendant.
  1. Monitor pendant system on an on-going basis. Advise proper staff of supervisory notifications.
  1. Make appointments for the Assisted Living residents to see the physician, dentist, podiatrist, DPT etc., prepare the charts and the MD Progress Notes. Call the residents if they are not in the office at the time of the scheduled appointment.
  1. Monitor and contact physicians re: resident required annual physicals.
  1. Assist resident and/or family member in making transportation arrangements for Assisted Living residents to go to physician appointments if needed.
  1. Communicate with families and assist with coordination of care as directed by MOW.
  1. Communicate resident needs to appropriate staff.
  1. Every month and as needed, print and update the PCAs’ Assignment Sheets and Laundry Schedule.
  1. First day of the month prepare “Monthly Hospital Admission Statistics” for both Weston and Heller and fax to main office.
  1. Update face sheets with information i.e. age, allergies and diagnoses.
  1. Thin charts as needed according to regulations. Understanding what is to be retained in present chart.
  1. Maintain and update employee lists i.e. PPD.
  1. Maintain and update credentials for all agency staff.
  1. Monitor private duty aides’ orientation and daily sign-in and out. Ensure wearing of ID badges.
  1. Understand medical office protocol and procedure.
  1. Be knowledgeable of how to work with outside agencies: State, Federal and local.
  1. Learn and is responsible for implementation of Assisted Living Wellness Office Policies and Procedures.
  1. Assist with In-Service and Monthly Meetings.
  1. Process laboratory orders received for Assisted Living residents by including completed lab slip with tests and MD order. Obtain Nurse/MD signatures – follow up to assure all procedures completed.
  1. Assist the Social Worker with flyers and clerical skills.
  1. Perform other duties as assigned.

Language Skills:

Must be able to read, speak, analyze and interpret the English language, in addition to write reports with proper documentation. Must demonstrate the ability to effectively present information and respond to questions from residents, family members or other staff involved in residents care.

Mathematical Skills:

Must be capable of reviewing all time cards for nursing personnel and calculating appropriate hours.

Reasoning Ability:

Ability to solve practical problems and deal with a variety of concrete variables; to interpret a variety of instructions furnished in written or oral form.
