Dear Teacher in Charge of Sportshall Athletics

Leeds North East Primary Sportshall Athletics Competition

It is with great pleasure that I invite your school to take part in the Leeds North East Sportshall Athletics Competition 2016/17. On the entry form you will find a selection of competition dates from which to choose from. Please indicate your first and second choice and you will be informed which qualifying round you have been allocated to. After the first round the school finishing in 1st place will qualify to the Cup Competition, and 2nd placed teams will move on to the Plate Competition. Teams finishing in 3rd, 4th and 5th place will be knocked out of the competition.

The format will be as follows:

  1. Qualifying Rounds: Participating schools will be grouped into 4/5 schools per venue/date/heat. The teams finishing 1st will qualify to the SSP CUP Finaland the teams finishing in 2nd place will qualify to the SSP PLATE Final. 3rd/4th/5thplaced teams will be knocked out of the competition.
  2. SSP CUP and PLATE FINALS - The top 2 teams from each of these Finals will represent Leeds North East and will qualify to the LEEDS SEMI FINAL.

Leeds NE Plate Final: TBC Tuesday 29th November 2016 at Roundhay TBC

Leeds NE Cup Final: TBC Thursday 8th December 2016 at Roundhay TBC

Leeds Plate Semi Final: Tuesday 24th January 2017 at Leeds Trinity University

Leeds Cup Semi Final: Thursday 26th January 2017 at Leeds Trinity University

Leeds Final: Thursday 9th February 2017 at Leeds Trinity University

CUP ONLY: West Yorks School Games: Wednesday 8th March 17 at North Bridge Leisure Centre

Sports leaders will provide guidance on the day; however it is advisable to prepare your team for the event, in particular baton change overs and field event techniques.

Health and Safety

We kindly ask schools to ensure they arrive ten minutes prior to the start of your competition in order to start on time. For thesportshall athletics competitions sports hall spectator space is unfortunately very limited and schools will be allocated a small area to sit their teams and supporting staff. Parents / carers are welcome to attend, but they must be made aware that it is not possible to provide seating. They must squeeze into the school team space not spilling over on to the track or another schools area or they will be asked to wait outside the hall. This is for everyone’s safety.

First Aid

Staff are responsible for providing first aid to the children they have brought to the event. Please ensure you bring sufficient first aid supplies.

Although the Sportshall Athletics Competition is competitive the emphasis is on FUN & ENJOYMENT.

You will notice on the entry form that there are a choice of dates/venues/heats which you may attend; places will be limited & allocated on a first come, first serve basis. Once I have confirmation of your entry I can then pass on further details to you.

I do hope that you will be able to enter a team and I will make every effort to assist you. If you wish to enter, please return the attached entry form by14thOctober 2016so that all competition details can be arranged.

Please read all the event information on the following pages carefully, and ensure all staff that are attending the event have this information.

FILMING & PHOTOGRAPHY

  • Please ensure that the member of staff in charge is aware of which pupils can/cannot be photographed
  • Pupils who cannot be photographed must be identified by a yellow wristband which will be provided
  • The school will be asked to identify a designated member of staff for photography who must wear a blue wristband which will be provided
  • Only images taken by that person can be used by the school
  • All persons accompanying the school must be informed of the following:

They may take photographs BUT

they must not display or distribute images taken unless they have consent to do so from the school or Active Schools;

they must not use images which may cause distress;

they must not use a mobile telephone to take images;

they must not take images “in secret” or take images in situations that may be construed as being secretive;

they must not take images of single children/young people with no surrounding context;

they should ensure that in all images taken children/young people are dressed appropriately

and that any inadvertent photograph taken of a child wearing a yellow wristband must be destroyed.

RISK ASSESSMENTS / EVOLVE NOTIFICATION

It is the responsibility of individual schools to have appropriate risk assessments in place for all activities they attend. SGO’s and Active Schools will not send risk assessments direct to Schools. They should download sample risk assessments from Evolve for all Active Schools and SSP events and personalise them.

For large, centrally organised Active School events, risk assessments will be in the Active Schools tab of the resources section on Evolve. For School Games and SSP events, risk assessments are in the PE tab. The ‘Events’ risk assessment can be adapted to cover the vast majority of sites used, and for all multi skills activities. Your school may also add activity specific risk assessments if they feel it necessary. (sample activity risk assessments can also be downloaded from Evolve). As always a Transport risk assessment will be required.

Primary Event Format

The Sportshall Primary Programme provides an exciting and highly popular introduction to athletics competition.

  • The ‘Challenge’ is open to Year 4, 5 and 6 pupils only.
  • The team should consist of 9-15 boys and 9-15 girls.
  • Children may compete in a maximum of two track events and two field events.
  • Two members of staff are recommended to accompany the team.
  • Children should arrive in their PE kit with suitable footwear.

In the event an athlete is called for a track race and they are on a field event the track takes priority over field events.
